A WhatsApp AI agent for cosmetic surgery, hair transplant and aesthetic clinics: answer procedure, consultation, pricing-range and recovery-logistics questions, book consultations, and route every clinical question to the surgeon
A cosmetic clinic's enquiries arrive with photos and two questions: how much, and am I a candidate. The first has a range; the second belongs to the surgeon. A coordinator who answers in minutes with the range, the process and a consultation slot keeps the patient; the candidacy answer waits for the consultation, as it should.
Quick answer
Give a WhatsApp AI agent your procedure list with general descriptions, the consultation process and fee, indicative price ranges if you publish them, financing basics, what recovery involves in general terms, aftercare appointment rules, and your consultation availability, and it answers in seconds in the patient's language, collects enquiry basics, directs photos to a secure upload, and books the consultation with a reminder. Instruct it never to assess candidacy, predict results or discuss a person's photos; those go to the medical team. ReplyKit runs this from $29 a month.
The boundary
The instruction: "You give information about procedures, process, pricing ranges, financing and logistics. You never say whether someone is a candidate, what results they can expect, or comment on photos or their appearance; the surgeon does that in consultation. If asked, say so warmly and offer to book." Add that the agent should not describe risks or complications beyond "the surgeon explains risks in consultation", since partial risk information is worse than none. Advertising claims must be the approved ones; the agent will repeat what you write. The same scoping applies to aesthetic clinics.
Photos
Patients send photos unprompted. Decide the policy: most clinics instruct the agent to thank the patient, not comment, and direct them to the secure upload or the consultation, and to hand over so a coordinator moves any photo out of the chat. Photos of a person's body are sensitive data; keep them off WhatsApp where you can and off the knowledge base always. The privacy approach is in GDPR and AI agents.
Enquiry to consultation
- Procedure of interest and rough timeline.
- Indicative range if published, the consultation fee and what the consultation includes.
- Financing: that plans exist and how to apply, without quoting terms.
- Consultation booking into a real slot, video or in person, with a reminder and pre-consultation instructions.
- For international patients, travel and stay logistics from your note, as in medical tourism facilitators.
- After booking, the coordinator takes over; on the Growth plan the agent nudges once if the patient goes quiet before booking.
Aftercare logistics
Existing patients ask about appointment times, what to bring, when stitches come out, whether they can fly. The agent answers the scheduling and logistics from your aftercare note and books follow-ups; any question about healing, pain, swelling or anything that sounds like a complication is handed to the clinical team immediately with an instruction to call the clinic's emergency line. That rule is non-negotiable and should be in the instructions in one line.
What stays with a person:
- Candidacy, results and risks.
- Anything about photos or a person's appearance.
- Quotes beyond published ranges, and financing approvals.
- Complications and post-operative concerns, immediately.
- Complaints and refunds.
Everything else the agent handles, and when it is unsure it says so and offers a human rather than guessing; see why the agent says it is not sure.
One honest note before the setup. ReplyKit connects to your number by QR pairing, the same linked-device mechanism as WhatsApp Web. It is live in minutes and needs no Meta approval, but Meta does not sanction automation this way, so a number can be restricted. We enforce limits of 30 replies an hour and 200 a day per number with a warm-up ramp for new numbers, reply to inbound messages only, and recommend a dedicated number rather than your main line. The full picture is in our ban guide.
Starter at $29 a month covers one number, one agent, one website assistant and 1,000 AI replies; Growth at $49 adds two more numbers, five agents and follow-up nudges; the 7-day free trial needs no card. Only the agent's own messages count; replies you receive and messages you send yourself are free. Pricing is in USD and the service works wherever WhatsApp does. What it costs in practice.
