Intercom alternatives for small business: free, cheaper and Fin replacements compared
Intercom is built for software companies with support teams, and its pricing shows it. If you run a small business with one to five people answering customers, this guide prices Intercom and Fin for a team your size, then shows eight alternatives that cost less or fit better, including free ones.
Quick answer
For most small businesses, cheaper Intercom alternatives are Help Scout (from $25 per user with AI at $0.75 a resolution), Crisp (from $45 a month per workspace), Freshchat (free for up to 10 agents) and Chatwoot (free for two agents, or self-hosted). If your customers mainly message on WhatsApp and you take bookings, ReplyKit is $29 a month with AI included.
What does Intercom cost a three-person team?
About $285 to $315 a month for three people on the cheapest plan with a modest amount of AI. Intercom charges per seat and then $0.99 for each Fin outcome, so the bill rises with both headcount and how often the AI succeeds.
Intercom's pricing page in October 2026:
| Plan | Per seat, billed yearly | Per seat, billed monthly | Free Lite seats |
|---|---|---|---|
| Essential | $29 | $39 | None |
| Advanced | $85 | $99 | 20 |
| Expert | $132 | $139 | 50 |
Fin, the AI agent, is $0.99 per outcome on every plan. An outcome is counted when a customer confirms the issue is solved, does not ask for more help after Fin answers, or Fin completes a workflow, including a handoff. Copilot for your staff is another $29 per agent a month on yearly billing. WhatsApp is pay-as-you-go per conversation. There is a 14-day trial with no card, and startups can apply for up to 93% off.
Now a worked example. Say a three-person physiotherapy practice gets 400 conversations a month and the AI fully handles 200 of them.
| Tool | Seats or plan | AI for 200 handled chats | Monthly total |
|---|---|---|---|
| Intercom Essential, monthly | 3 x $39 = $117 | 200 x $0.99 = $198 | $315 |
| Intercom Essential, yearly | 3 x $29 = $87 | $198 | $285 |
| Help Scout Standard | 3 x $25 = $75 | 200 x $0.75 = $150 | $225 |
| Zendesk Suite Team, yearly | 3 x $55 = $165 | 15 included, 185 x $1.50 = $277.50 | $442.50 |
| Freshchat Growth, yearly | 3 x $19 = $57 | Two packs of 100 sessions at $49 = $98, after the one-off 500 free | $155 |
| Crisp Essentials | $95 for up to 10 seats | About 450 automated conversations included, by Crisp's estimate | $95 |
| Chatwoot Startups | 3 x $19 = $57 | 300 Captain AI credits included, more at $20 per 1,000 | From $57 |
| ReplyKit Growth | Priced by numbers and AI replies | 5,000 AI replies included | $49 |
The units differ (outcomes, resolutions, sessions, credits, replies), so treat this as a direction, not a quote. The direction is clear, though: at small-team scale, Intercom's per-outcome AI is usually the largest line on the bill.
Eight cheaper Intercom alternatives for small teams
Ordered from most like Intercom to least. All prices are from each vendor's own page in October 2026. We make ReplyKit, so weigh our view accordingly.
Help Scout
Best for: email-heavy support with live chat on the side. Standard is $25 per user a month and already includes live chat, WhatsApp, Instagram and Messenger. The AI Answers add-on is $0.75 per resolution with a 3-month free trial. Pros: calm, simple inbox and knowledge base. Cons: per-user pricing; AI is an add-on.
Zendesk
Best for: teams that expect to grow into a full ticketing desk. Suite Team is $55 per agent a month billed yearly ($69 monthly) with five AI resolutions per agent included; extra resolutions are $1.50 committed or $2.00 pay-as-you-go. Pros: every channel, deep reporting. Cons: the most expensive option here once AI volume grows.
Freshchat
Best for: small teams that want a free start and a familiar suite. Free for up to 10 agents; Growth is $19 per agent a month billed yearly and adds the Freddy AI Agent at $49 per 100 sessions. See our Freshchat alternatives if you have already outgrown it.
Crisp
Best for: teams of four to ten who prefer one flat workspace price. Mini is $45 a month for four seats; Essentials is $95 for ten seats with AI credits Crisp estimates at about 450 automated conversations. Pros: no per-seat creep. Cons: WhatsApp and the AI chatbot come with the higher plans.
Tidio
Best for: online stores. Starter is $24.17 a month billed yearly for 100 billable conversations; the Lyro AI agent starts at $32.50 a month for 50 AI conversations. Pros: easy, Shopify-friendly. Cons: two meters (human and AI conversations) to watch.
HubSpot Service Hub
Best for: businesses already using HubSpot's CRM. The free tools cover up to two users and include live chat with HubSpot branding. Paid Starter seats start at $20 a month. Its AI Customer Agent needs Professional, from $90 a seat plus a one-off $1,500 onboarding fee.
Chatwoot
Best for: cost-conscious or technical teams. The Hacker plan is free for two agents and 500 conversations a month on live chat; Startups is $19 per agent with all channels. The core code is MIT-licensed, so you can self-host it.
ReplyKit
Best for: owner-run businesses where most customers message on WhatsApp. An AI agent answers from your content, qualifies leads and books appointments, with a shared inbox for handovers. $29 to $99 a month, AI replies included (see the plans). Details and limits below.
Are there free Intercom alternatives?
Yes, for live chat. Free AI that answers customers on its own is rarer and usually capped low.
- Freshchat Free: up to 10 agents, chat widget and shared inbox, no AI agent and no WhatsApp.
- Chatwoot Hacker: up to two agents and 500 conversations a month, live chat only, 30 days of history.
- Crisp Free: two seats and 100 customer profiles, no AI credits.
- HubSpot free tools: two users, live chat with branding.
- Help Scout Free: five users and 100 contacts a month.
- tawk.to: free live chat with paid add-ons. Our tawk.to alternatives page covers it.
Free plans are fine while a person is always available to reply. They stop working the moment you want after-hours answers, which is usually why owners look at Intercom in the first place. Our comparison of live chat and AI chat widgets explains the gap.
What can replace Fin if you only want the AI agent?
If you like your current helpdesk and only want cheaper AI answers, you have three routes.
- Use the AI in the helpdesk you already pay for. Help Scout AI Answers ($0.75 per resolution), Zendesk AI agents ($1.50 to $2.00 per extra resolution) and Freddy AI Agent ($49 per 100 sessions) all sit inside their own desks.
- Use a workspace plan with AI included. Crisp Essentials and Chatwoot's paid plans include monthly AI credits in the plan price.
- Use a standalone agent on the channel that matters most. If most enquiries arrive on WhatsApp, an agent built for WhatsApp may replace both the helpdesk and Fin for a small business. Our Intercom Fin pricing breakdown shows when Fin is still worth it.
Five questions to answer before you leave Intercom
Switching costs time, so check these first:
- Where do your customers actually start? Count last month's conversations by channel. If 80% are WhatsApp, a website-first tool is the wrong swap.
- How many people truly reply? Per-seat tools punish part-timers; workspace or reply-based pricing does not.
- How many chats could AI fully handle? Multiply by each tool's AI unit price. This is the number that changes most between vendors.
- What must you export? Conversation history, contacts and help articles. Check export options during the trial, not after cancelling.
- Do you need in-app product messaging? If you run a software product and use Intercom's product tours and in-app messages, most alternatives here do not replace that. Staying may be right.
Where ReplyKit fits for small businesses leaving Intercom
ReplyKit fits a clinic, salon, agency, tutor or trades business whose customers message on WhatsApp and the website, and who wants an AI that answers from its own content, captures name, need, budget and timing, and books real slots with a reminder about 24 hours before. You take over any chat in one click; the AI pauses for that chat and you hand back when done. Voice notes and photos are understood, in over 30 languages.
WhatsApp connects with Quick Connect, a QR pairing that links your number as a device in about two minutes. It is unofficial, not the WhatsApp Business API, and Meta can restrict a number used this way. You see one plain notice first; pressing Connect accepts section 3 of our Terms. We limit replies to 30 an hour and 200 a day per number by default and recommend a dedicated number. No Meta fees apply; our API versus QR pairing guide sets out the trade-off.
Choose Intercom, Help Scout or Zendesk instead if you need email ticketing, in-app messaging, Instagram or Messenger, phone support, or the official API. ReplyKit does none of those. If WhatsApp and bookings are your business, try it free for 7 days and compare the bill with your Intercom invoice.
Frequently asked questions
Is there a free alternative to Intercom?
Yes, for live chat. Freshchat is free for up to 10 agents, Chatwoot's Hacker plan is free for two agents and 500 conversations a month, and Crisp, HubSpot and Help Scout have free tiers. None of the free tiers include an AI agent that answers customers on its own at any real volume.
What is cheaper than Intercom Fin?
Help Scout AI Answers is $0.75 per resolution, against Fin's $0.99 per outcome. Freddy AI Agent is $49 per 100 sessions. Crisp and Chatwoot include AI credits in the plan price, and ReplyKit includes 1,000 AI replies in its $29 plan.
How much does Intercom cost for a small business?
Essential is $29 per seat a month billed yearly, or $39 monthly, plus $0.99 for each Fin outcome. A three-person team with 200 AI-handled chats a month pays roughly $285 to $315.
Is Intercom worth it for a small business?
It can be if you run a software product and use its in-app messaging, product tours and helpdesk together. For an owner-run service business answering enquiries, most of what you pay for goes unused.
Which Intercom alternative is best for WhatsApp?
Help Scout Standard and Zendesk include WhatsApp in a broader helpdesk on the official API. If WhatsApp is your main channel and you want AI replies and booking at a flat price without Meta fees, ReplyKit is built for that, with the unofficial-connection trade-off explained before you connect.
Can I use Fin without Intercom's helpdesk?
Yes. Intercom offers Fin on top of other helpdesks with no seat costs, at $0.99 per outcome with a minimum monthly commitment.
