WhatsApp Business API vs QR pairing: what each one is, why unofficial pairing gets numbers banned, and why ReplyKit moved to the official platform

Every WhatsApp automation tool sends messages one of two ways. Understanding the difference explains most of the pricing, most of the setup friction, and every ban story you have read. We have used both.

The official WhatsApp Business Platform (also called the Cloud API) is Meta's sanctioned way for software to message customers: a business account, a verified number, approved templates for messages you start, free-form replies inside a 24-hour window, and per-message fees on templates. QR pairing connects a bot to the ordinary WhatsApp app as a linked device; it is instant and free but breaks WhatsApp's terms, and numbers on it get banned. ReplyKit launched on QR pairing, moved to the official platform in September 2026, and now runs only on it, with the setup reduced to a Meta sign-in from the dashboard.

What each one actually is

The official platform. Meta hosts an API. Your business gets a WhatsApp Business Account, a phone number registered to it, and a display name. Software sends and receives messages through the API, replies freely to anyone who has messaged in the last 24 hours, and uses pre-approved templates to start conversations. Meta's overview describes it. Customers see a notice in the chat that the business uses a secure service from Meta to manage it.

QR pairing. A bot registers as a linked device on a normal WhatsApp or WhatsApp Business app account, the same mechanism that powers WhatsApp Web. Messages then flow through the app's session. It needs no approval, no templates and no fees, which is why it is cheap and fast. It is also automation of the consumer app, which the consumer terms forbid, and WhatsApp bans numbers it detects doing it.

Cost

On the platform, Meta charges per message you start, by template category and country, and nothing for replies inside the 24-hour window; see Meta's pricing and our plain-English version. For a business whose agent mostly answers enquiries, the Meta bill is close to zero; reminders and follow-ups add a few cents each. Enterprise providers add a platform fee on top, which is where the $75 to $300 a month figures come from. ReplyKit charges a flat $29, $49 or $99 with the AI included and Meta bills the template fees to your own business account.

QR pairing has no Meta fees, which was the honest attraction. Against it, count the cost of a banned number: reprinting, a dead link on every ad, and customers who cannot reach you.

Setup

The platform used to mean a developer, a provider contract and weeks of waiting. Meta's Embedded Signup changed that: a business signs in with its Facebook account inside the tool, picks or creates the business account and number, verifies the number by SMS, and is connected. In ReplyKit that is one button on the Agents page. Business verification, which raises your messaging limit and unlocks the display name, still takes a few days and is done in Meta Business Manager. Templates for reminders and follow-ups are ReplyKit's own, already approved, so there is nothing to submit.

Risk, stated plainly

QR pairing is a bet that WhatsApp will not notice. Sometimes it does not, for months. When it does, the number is banned without warning, and the appeal rarely succeeds because the terms are clear. We ran on it, told customers the risk in onboarding and in our terms, and enforced limits to reduce it. That was never a durable position for a product businesses put on their front door, so in September 2026 we moved to the official platform. On the platform the risks are quality and policy, both visible in advance and both recoverable; Meta's messaging limits explained covers them.

How to choose in one minute

Choose the official platform. The only case for QR pairing was speed and cost, and Embedded Signup removed the first while free in-window replies removed most of the second. If a tool still asks you to scan a code from Linked Devices, it is asking you to carry the ban risk for it.

Is ReplyKit on the official WhatsApp Business API?

Yes. Since September 2026 every ReplyKit number connects through Meta's WhatsApp Business Platform using Embedded Signup. QR pairing has been retired.

What is QR pairing?

Connecting a bot to the normal WhatsApp app as a linked device, the way WhatsApp Web works. It is not sanctioned for automation and numbers on it get banned.

Do I pay Meta fees with ReplyKit?

Only for reminder and follow-up templates sent outside the 24-hour window, at Meta's per-message rate. Replies to customers who message you are free.

Do I need a developer to use the official API?
