How to automate WhatsApp replies for a small business

Most small businesses lose leads on WhatsApp for one reason: nobody answered in time. This guide shows what to automate, what to keep human, and how to go from an unanswered inbox to an AI agent that replies in seconds and books appointments, in about 15 minutes.

Quick answer

Automate the repetitive questions (price, hours, location, availability, what is included) and the booking. Keep complaints, negotiations and anything emotional for a human. The fastest route is a official-platform AI agent like ReplyKit: paste your website, set your hours, scan a code, and the number answers itself from $29 a month. Use a dedicated number, and be honest that it is an assistant.

The three levels of WhatsApp automation

LevelWhat it doesCostGood for
1. Auto-repliesFixed greeting and away messages in the free WhatsApp Business app. Cannot answer questions.FreeSetting expectations while you are closed
2. Menu chatbots"Press 1 for prices" flows you design in a builder. Answers only what you scripted.$50 to $350 a month on API platforms plus Meta feesStructured journeys like order tracking
3. AI agentReads the message, answers from your content, asks follow-ups, books slots, hands over when unsure. From $29 a month (ReplyKit), Meta fees only on templatesInbound enquiries and bookings for small businesses

Level 1 is worth switching on today, it costs nothing. Level 2 is where most businesses stall, because building and maintaining flows is a project. Level 3 is what this guide sets up, because it needs no flows: the agent works from the same documents you already have. See the tools compared if you want to weigh the options first.

What to automate, and what to keep human

Automate

  • Prices, packages and what is included.
  • Location, parking, opening hours.
  • Availability and appointment booking.
  • Collecting name, need and preferred time from a new lead.
  • Reminders the day before an appointment.
  • Follow-ups when a lead goes quiet after asking a question.

Keep human

  • Complaints and refunds.
  • Price negotiation and custom quotes.
  • Anything medical, legal or financial beyond published information.
  • A customer who asks for a person. Always.
  • Hot deals the agent flags, where a personal touch closes.

The six steps

Step 1: Write down your top ten questions

Scroll your last fifty WhatsApp chats. Note every question that came up more than twice. That list is your automation plan. If price is on it, and it always is, decide now whether you are happy for the agent to quote it. Most businesses are, because customers who cannot get a price leave.

Step 2: Get a dedicated number

A number in the WhatsApp Business app can stay there while the agent answers on it. A personal WhatsApp line cannot be connected at all, so in that case put the agent on a new or secondary number, print that number on ads, Google Business Profile and your website, and keep your long-standing number for personal follow-up. Meta's limits and quality rating are explained in Meta's messaging limits explained and the platform itself in why ReplyKit uses the official platform.

Step 3: Build the knowledge base

In ReplyKit you paste your website URL and it crawls the pages. Upload your price list or brochure as a PDF. Add plain text for anything not written down, such as "we do not take walk-ins on Saturdays". Then add five to ten Q&A pairs for the questions from Step 1, written the way you would say them. The agent answers only from this, so what you put in is what customers get.

Step 4: Set services and opening hours

Define what can be booked, how long it takes, and your weekly availability. From then on the agent offers real open slots in the chat, books with double-booking protection, and sends a reminder 24 hours before. Bookings export to Apple, Google or Outlook calendars as an .ics file. If you skip this step, the agent collects booking requests for you to confirm instead.

Step 5: Connect the number

Open WhatsApp on the phone with the dedicated number, go to Linked Devices, and connect the number through Meta's sign-in ReplyKit shows you. The agent is live the moment Meta's sign-in completes. Keep the phone charged and online; it is the anchor for the link.

Step 6: Test, then teach every week

Message the number from another phone with your hardest questions and a few silly ones. Anything wrong, fix by adding a Q&A. Then, weekly, open the list of questions the agent could not answer and teach it the answers with one click. After three or four weeks the list is almost empty and the agent is better than a new hire on their first month.

Building a knowledge base that works

Human handoff that customers do not hate

The agent should say it is an assistant, and it should get out of the way fast. In ReplyKit the moment you type in a conversation the AI pauses on its own, and you hand it back with one click. The agent also escalates by itself when someone asks for a person, when it is not confident, or when a lead looks hot, and you get an email so nothing sits. If nobody replies within the hours you set, it returns to the AI so the customer is not left hanging. Every chat updates the built-in leads CRM with stage, notes and the details collected, so the human picks up with context.

Six mistakes to avoid

  1. Automating outbound blasts. Nothing drops a number's quality rating faster. Reply to people who message you; send reminders and follow-ups only through approved templates.
  2. Hiding that it is a bot. Customers find out, and trust drops. Disclose, and make the human route obvious.
  3. Letting it guess. A good agent says "I am not sure, let me get someone" rather than inventing a price. Check this in testing.
  4. Using your main number. Dedicated number, always.
  5. Setting it and forgetting it. The weekly teach loop is where the value compounds.
  6. Buying a platform you will not use. If you do not send campaigns and have no team inbox, you do not need a $150 a month omnichannel suite. See ReplyKit vs SleekFlow for the trade-off.

Frequently asked questions

Can I automate WhatsApp replies without the Business API?

Not safely. Tools that pair as a linked device are unofficial and get numbers restricted. ReplyKit uses the official platform but does the setup for you: minutes to connect, no developer, no BSP contract.

What is the difference between an auto-reply and an AI agent?

An auto-reply sends fixed text to everyone. An AI agent reads the message, answers from your business information, asks follow-ups and can book. The free WhatsApp Business app only does the former.

How long does setup take?

About 15 minutes with a official-platform agent. Hours to days on the official API because of Meta verification and template approval.

Will customers know they are talking to a bot?

They should. ReplyKit's agent introduces itself as an automated assistant by default and hands over the moment someone asks for a person.

How much does it cost?

From $29 a month for a official-platform agent with 1,000 replies, booking and a CRM. Official API platforms typically run $50 to $350 a month plus Meta fees. See ReplyKit pricing.
