Help desk software for small business: prices checked October 2026, free options, and whether you need ticketing yet

A help desk turns customer emails and messages into tracked tickets so nothing gets lost between people. This guide is for small teams choosing their first one: five signs you actually need it, six tools with prices from their own pages, what a three-person team would pay, and where an AI agent sits next to a help desk rather than instead of one.

Quick answer

Help desk software for a small business costs about $0 to $25 per agent a month at entry level: Help Scout and Zoho Desk have free plans, and Zendesk, Freshdesk and Intercom start at $19 per agent billed yearly. AI is usually extra or metered. You need ticketing once several people share email-heavy support and must track each issue to closure.

What is help desk software?

Help desk software is a shared workspace where every customer request becomes a ticket with an owner, a status and a history. Instead of a support@ inbox that five people read and nobody owns, each issue is assigned, worked on and closed, and you can see what is still open.

Most help desks also include saved replies, a public knowledge base, reports, and some form of AI. Many now handle live chat and messaging channels as well as email, which blurs them with the tools in our omnichannel inbox explainer. The difference is emphasis: a help desk is built around tracking issues to resolution, an inbox around conversations.

Do you need a ticketing help desk yet? Five signs

Many small businesses buy a help desk too early. You need one when at least three of these are true:

  1. Most support arrives by email or forms, and issues take more than one reply to solve.
  2. Two or more people answer customers, and you have had two people reply to the same customer, or none.
  3. Issues stay open for days, such as warranty claims, repairs or B2B problems, and you need to see their status.
  4. You promise response times to some customers and need to know when you are about to miss them.
  5. You want a knowledge base customers can search before they contact you.

If your support is mostly quick questions on WhatsApp or chat that are answered in one or two messages, ticketing adds clicks without adding much. A shared inbox and good quick replies may be enough; our guide to running tickets and escalations on WhatsApp shows a lightweight version.

How much does help desk software cost?

We checked six tools on their own pricing pages on 17 October 2026. Each one is a sound choice for some teams, so the "strength" column matters as much as the price.

ZendeskNo (trial)Support Team $19 per agent a month, billed yearly (email ticketing); Suite Team $55 adds messaging, live chat, telephony and AI agentsAI agents in Suite plans; Copilot add-on $50 per agentDepth and scale; the tool many teams grow into

Zoho DeskYes: 3 usersAbout $7 per agent a month billed annually (Express); paid plans up to about $40Varies by planLowest paid entry price; fits teams already on Zoho
IntercomNo (14-day trial)Essential $19 per seat a month, billed annually; Advanced $85; Expert $132Fin AI Agent $0.99 per outcomeStrong chat-first help desk with a capable AI agent
ChatwootYes: 2 agents, website chat only; or self-host the open-source versionStartups $19 per agent a monthAI credits included by planOpen source and self-hostable

A note on Zoho Desk: Zoho shows prices in local currency, and our check from Asia returned Indian rupee prices (₹420 a user a month for Express), so the US dollar figures above are approximate. What would a three-person team pay each month?

Here is the same team priced on each tool's entry plan, using yearly billing where that is how the price is shown. The AI line assumes 200 AI-resolved conversations a month, a hypothetical figure for illustration.

Help desk and planSeatsAI at 200 resolutionsMonthly totalWatch out for
Help Scout Free$0Not on Free$0One inbox only
Zoho Desk Free$0Limited$0Three users maximum
Zendesk Support Team3 × $19 = $57Not included$57Email ticketing only; chat needs Suite
Freshdesk Growth3 × $19 = $57Inside the 500 included sessions$57Session counting rules
Help Scout Standard3 × $25 = $75200 × $0.75 = $150$225AI cost grows with success
Intercom Essential3 × $19 = $57200 × $0.99 = $198$255Outcome pricing at scale
Zendesk Suite Team3 × $55 = $165Check AI agent limits on your plan$165 and upAdd-ons per agent

The pattern: seat prices are close at entry level, and the real difference is how AI is charged. Per-resolution or per-outcome AI is fair when volumes are low and becomes the biggest line on the bill as volumes grow. Our Intercom Fin pricing page works through that curve in detail.

Is free help desk software good enough?

For a team of up to three people with one support inbox, often yes. Help Scout's free plan gives five users one inbox and a Docs site; Zoho Desk's free plan gives three users email ticketing. What you typically give up is extra inboxes, automation rules, reporting depth, chat and messaging channels, and AI.

Free plans are a good way to learn what you actually use. Start free, run it for two months, and upgrade only when you hit a specific limit you can name. Open-source Chatwoot is the other free route if you have someone who can host and maintain it.

How ReplyKit works alongside a help desk

ReplyKit is not a ticketing help desk. It has no tickets, SLAs, customer portal or email channel. We make it, so weigh our view accordingly, but if you need those things, buy one of the tools above.

Where it complements a help desk is the front line on WhatsApp and website chat, the channels where small-business customers ask quick questions and expect quick answers. An AI agent answers from your own content, books appointments from real open slots, qualifies leads, and hands anything it cannot answer to a person in a shared inbox, with a notification. That keeps routine chat volume out of your help desk entirely.

Be clear about the join, because it is manual. ReplyKit has no integrations with Zendesk, Freshdesk or any other help desk, no webhooks and no Zapier; leads export as CSV. When a WhatsApp chat turns into a real ticket, such as a warranty claim, someone copies it into the help desk. For businesses where WhatsApp is the main support channel, that is a small cost; for email-heavy support teams, ReplyKit adds little.

WhatsApp connects by Quick Connect, a QR-code linked-device pairing that is unofficial and not sanctioned by Meta; use a dedicated number. Plans are $29, $49 and $99 a month, and you can start the 7-day free trial without a credit card.

Frequently asked questions

What is the best help desk software for a small business?

It depends on your channels and budget. Help Scout suits email-first teams that want simplicity, Freshdesk and Zendesk suit teams that will grow into more process, Zoho Desk has the lowest paid entry price, and Intercom suits chat-first teams that want a strong AI agent.

Is there free help desk software?

Yes. Help Scout has a free plan for five users with one inbox, Zoho Desk has a free plan for three users, and Chatwoot is open source and can be self-hosted. Free plans usually leave out automation, extra inboxes, chat channels and AI.

How much does help desk software cost for a small business?

Entry plans run from free to about $25 per agent a month, with Zendesk, Freshdesk and Intercom starting at $19 per agent billed yearly. AI is often charged separately, per session, resolution or outcome, and can become the largest line on the bill.

What is the difference between a help desk and a ticketing system?

A ticketing system is the core of a help desk: it turns each request into a tracked item with an owner and status. A help desk adds the surrounding tools, such as a knowledge base, saved replies, reports, channels and AI.

Do I need a help desk if I mainly use WhatsApp?

Often not at first. If most WhatsApp conversations are answered in a message or two, a shared inbox with quick replies or an AI agent handles them well; add a help desk when issues regularly stay open for days or several people must track them.

Does ReplyKit integrate with Zendesk or Freshdesk?

No. ReplyKit has no help desk integrations, webhooks or Zapier connection; leads export as CSV. It works alongside a help desk by answering WhatsApp and website chat, with complex cases moved into the help desk by hand.

How we know this. We opened the pricing pages of Zendesk, Freshdesk, Help Scout, Zoho Desk, Intercom and Chatwoot on 17 October 2026 and used only the figures shown there. Zoho's page served us Indian rupee prices, so its US dollar figures are approximate and labeled that way. The three-person table is our own arithmetic, and the 200 AI resolutions are a hypothetical volume. We make ReplyKit, which is not a help desk, so we have an interest in the front-line chat part of this decision; for email-heavy support teams that need tickets and SLAs, one of the help desks above is the better choice and ReplyKit adds little.
