A WhatsApp booking system with deposits: how to take the slot, collect the deposit, confirm, remind and protect against no-shows, with or without an AI agent

A no-show costs you the slot, the preparation and the customer you turned away. A deposit fixes most of it, if the booking flow stays as easy as the one without a deposit. On WhatsApp that means the slot, the details, the payment and the confirmation in one short conversation.

Quick answer

Pick a deposit that hurts to forfeit but not to pay (typically 20 to 50 percent, or a fixed amount for cheap services), state it at the start of every booking, take the slot and details first, send the payment instructions, hold the slot for a fixed time (30 minutes to 2 hours), confirm when proof arrives, and remind the day before. Write the refund and no-show policy in three lines and quote it at booking. An AI agent runs everything except the decision that a payment screenshot is genuine, which a person checks before the final confirmation. ReplyKit books into real slots, sends the reminder, and collects the screenshot for you.

Choosing the deposit

The booking flow

  1. Slot first. "Which day and time works? I have {slot} and {slot}." Let the customer commit to a time before mentioning money.
  2. Details. Name, service, anything you need to prepare.
  3. Deposit and hold. "To confirm, a deposit of {amount} by DuitNow to {details}. I'll hold {slot} for 1 hour; send a screenshot here when done."
  4. Proof and confirmation. The customer sends the screenshot. A person glances at it, then the confirmation goes out with the policy line. Confirmation wording is in the confirmation templates.
  5. Reminder. The day before, with the policy repeated in one line.
  6. Hold expiry. If no proof after the hold time, release the slot and say so: "The 1-hour hold has ended, the slot is open again; message me if you'd still like it."

Payment methods that work for this in Malaysia and Singapore, and how to verify a screenshot, are in taking payments on WhatsApp.

The three-line policy

Deposits are deducted from your bill. Reschedule free with 24 hours' notice; the deposit carries over. Cancellations or no-shows with less than 24 hours' notice forfeit the deposit.

State it when asking for the deposit, in the confirmation, and in the reminder. Three exposures, no surprises, no arguments. Variants for different businesses are in the deposit policy templates, and the reschedule handling in rescheduling and cancellations.

What the AI agent does

Hold expiry is a manual step today: check the dashboard for bookings awaiting proof and release them yourself. For most businesses that is a once-a-day glance.

Frequently asked questions

How much deposit should I ask for?

20 to 50 percent for services above RM 100, or a fixed RM 20 to RM 50 for cheaper ones, always deducted from the bill.

How long should I hold a slot for payment?

30 minutes to 2 hours. State the hold time when sending payment details and release the slot when it passes.

Can the AI agent confirm a payment?

It receives the screenshot and describes it, but a person should verify it against your bank before the final confirmation.

Does the deposit carry over on reschedules?

Yes, with notice. State the notice period in the policy and quote it at booking, confirmation and reminder.

Do I still need reminders if I take deposits?

Yes. Reminders cut no-shows further and reduce the number of deposits you have to forfeit, which customers resent even when the policy is clear.
