A cancellation policy nobody read is a dispute waiting to happen. The fix is not a longer policy; it is a one-line version stated at the moment of booking, in the chat, by the agent. Here are policies that read as fair, for six kinds of business, and the line the agent says.

What makes a policy feel fair

Templates by business
Salon or spa (one-liner): A RM 50 deposit holds your slot and comes off the bill. Move or cancel free up to 24 hours before; inside 24 hours the deposit is kept. Clinic: No deposit for consultations. Please give 24 hours' notice to cancel or move; a second missed appointment without notice may need a deposit for future bookings. Tutor or class: Trial classes are free but please tell us by the day before if you cannot make it. Term fees are not refundable once the term starts; make-up classes are offered for absences notified in advance. Photographer or event vendor: A 30 percent deposit confirms your date and is not refundable, because we turn other bookings away for it. The balance is due 7 days before the event. Trades and home services: A call-out fee of RM 80 applies to every visit and is deducted from any repair we do. Cancel free up to 2 hours before the slot. Restaurant: For groups of 8 or more we ask for a RM 20 per person deposit, fully deducted from the bill. Free to change up to 24 hours before. Symmetry line (add to any): If we ever have to move your appointment, your deposit is refunded in full or moved to the new time, your choice.
How the agent states it
Put the one-liners in the knowledge base as their own note, and add to the instructions: "Before confirming any booking, state the deposit or cancellation policy in one line." The conversation then reads: "I can book you Saturday 2pm with Mei. A RM 50 deposit holds the slot and comes off the bill, free to move up to 24 hours before. Shall I confirm?"
