How to set up appointment booking on WhatsApp, so customers book in the chat instead of clicking away

Sending a customer a booking link is sending them away. Half do not click, and the ones who do meet a calendar widget on a phone screen. Booking inside the WhatsApp conversation, "Thursday 3pm or Saturday 11am?", converts better because it never leaves the chat. Here is how to set it up so an AI agent can do it for every customer.

Why booking in the chat beats a link

A booking link adds a step, a page load and a form. On a phone, at 10pm, that is where people drop. In-chat booking keeps the momentum: the customer asked about Thursday, the agent offers Thursday 3pm, the customer says yes. There is also a trust effect. A real slot offered by name feels like a receptionist checking the book, not a widget. The businesses that lean on this most are the ones covered in our industry guides: clinics, salons, tuition centres.

The setup, step by step

  1. Services. List every bookable thing with a duration: consultation 30 minutes, full groom 90, trial class 60. If durations differ by size or type, make separate services. Add a buffer to the duration if you need turnover time.
  2. Availability. For each service, the days and hours it is offered. Different staff, different hours: set them per person if the agent should book by name.
  3. Rules. Deposits, late-cancellation fees, what to bring, whether new customers can book directly. Write them as plain text so the agent states them before booking.
  4. Reminders. On by default, 24 hours before, with a one-word confirmation and a reschedule path. See the wording in reducing no-shows.
  5. Calendar. Export bookings as .ics so the team sees the day in Apple, Google or Outlook.

Behind that: the agent read the services, checked Mei's real availability, held the slot, wrote the booking, moved the lead to Booked in the CRM, and scheduled the reminder. If two customers ask for the same slot at once, the second is offered the next one; double-booking is blocked at the source.

Cancellations, reschedules and no-shows

A customer who replies "can I move it to Friday?" is handled in the same chat: the old slot is freed, a new one offered and booked. A cancellation frees the slot for the next person who asks. No-shows are visible in the leads list as Booked but not Won, so you can ask for a deposit next time. On Growth and Pro plans a customer who asked about a slot and went quiet gets one polite nudge.
