Reminders work. The Cochrane review of mobile phone messaging reminders pooled studies across healthcare settings and found that message reminders improve attendance compared with no reminder, with results comparable to phone-call reminders at far lower cost. The mechanism is not mysterious. People forget, plans change, and a message that arrives when they can still act lets them either commit or free the slot. Timing: the day before, once

One reminder around 24 hours before is the sweet spot. Earlier than 48 hours and it is forgotten again; later than the morning of the appointment and there is no time to refill a cancellation. A second reminder two hours before helps for high-value or long appointments, but for routine bookings it feels like nagging and gets muted. Four things make it work: the name, the exact day and time, the place, and a one-word confirmation with an open door for changes. Avoid "please confirm your attendance at your earliest convenience" and anything longer than three lines. Add what to bring or how to prepare only if it changes anything. If a deposit or a late-cancellation fee applies, say so plainly; it reduces no-shows more than any wording trick.

Make cancelling easy, then refill

The paradox of no-shows is that making it easy to cancel reduces them. A customer who can say "sorry, can't make it" in one reply frees the slot; a customer who feels awkward simply does not turn up. When someone cancels in the chat, the agent should offer two alternative slots immediately, and the freed slot should become available to the next person who asks "any slot this week?".
