Rescheduling and cancellations on WhatsApp: a process that refills the slot, the policy wording, and what the AI agent does

Nobody cancels for fun. The customer who messages "can't make tomorrow, sorry" at 9 pm is embarrassed and expects a hassle. If the reply is instant and offers two new times, most of them move rather than cancel. If the reply comes in the morning, the slot is dead and the customer is gone.

Quick answer

Treat every cancellation as a reschedule request first: reply within seconds, offer the next two open slots, and only cancel if the customer insists. Publish a plain policy (notice period, late fee or deposit rule, how many free moves) and quote it, not argue it. Backfill freed slots from a waitlist the same hour. An AI agent takes the request at any hour, offers real open slots, updates the calendar, applies the policy wording and hands over disputes. ReplyKit's booking does this with reminders the day before, which prevents most of the cancellations in the first place.

A policy people can follow

Three lines, on your website and in the agent's knowledge: how much notice you need (24 hours is standard for most services), what happens with less (a late fee, a forfeited deposit, or a strike), and how many free reschedules you allow. Say it at booking time, in the confirmation message, and in the reminder. A policy nobody has seen cannot be enforced; a policy quoted three times is accepted without argument. Wording for the deposit and fee versions is in the deposit and cancellation policy templates.

Reschedule first

Cancellation request, with notice

No problem, thanks for letting us know. Would {day} at {time} or {day} at {time} work instead? If not, I can cancel and you can rebook any time.

Cancellation request, late

Thanks for telling us. As it's within 24 hours, our policy applies ({fee or deposit rule}). I can move you to {day} at {time} instead, which avoids the fee. Shall I?

Customer insists on cancelling

Done, your {service} on {day} is cancelled. You're welcome back any time. Shall I keep you on the list for a reminder next month?

No-show

We missed you today at {time}. Everything okay? If you'd like to rebook, I have {day} at {time} or {day} at {time}.

The order matters: offer the move before confirming the cancellation, every time. The no-show wording is in the no-show and rebooking templates.

Refilling the slot

  1. Keep a waitlist: customers who asked for a day that was full. The waitlist guide shows how.
  2. When a slot frees up, message the first two on the list by hand: "A 3 pm slot just opened tomorrow, want it?"
  3. First to confirm gets it; tell the other it is gone and keep them listed.
  4. Do this within the hour; a slot offered the next morning is rarely taken.

What the AI agent does

Measure three numbers

Cancellations per week, the share that became reschedules, and the share of freed slots refilled. The first should fall once reminders run, the second should pass half once the reschedule-first script is in use, and the third depends on how fast the waitlist is worked. Review them in the monthly audit.

Frequently asked questions

What notice period should I require?

24 hours works for most services; 48 for long or prepared appointments. State it at booking, in the confirmation and in the reminder.

Should I charge a late cancellation fee?

Only if you will enforce it every time. A deposit forfeited is easier to enforce than a fee invoiced later.

Can the AI agent move a booking?

Yes. It offers open slots from your calendar, moves the appointment, and sends a new confirmation and reminder.

How do I refill a cancelled slot?

From a waitlist, within the hour, by messaging the first two people who asked for that day.

What does the agent hand over?

Fee disputes, exception requests and anyone cancelling a series of appointments.

How we know this. ReplyKit's booking tool handles reschedules for clinics, salons and studios every day; the reschedule-first order below is what cut cancellations into moves for those customers.
