How much does an AI chatbot cost? Pricing models, real 2026 prices, and the costs people miss
This guide is for small business owners trying to budget for an AI chatbot when every vendor prices it differently. You get the six pricing models in plain words, real prices from public pricing pages checked in October 2026, worked monthly totals for three business sizes, and a way to estimate your own volume.
Quick answer
An AI chatbot costs a small business anything from free to several hundred dollars a month. Free tiers cap AI at around 50 to 100 conversations. Flat plans with AI included start around $29 a month. Helpdesks charge per seat plus per resolution, such as $0.99 per Intercom Fin outcome, so cost rises with volume. A custom build costs thousands upfront.
How are AI chatbots priced?
There are six common models: per seat, per resolution, per AI conversation, message credits, flat plans with an allowance, and custom builds. Many tools combine two, such as a per-seat helpdesk plus a per-resolution AI fee. All prices below are from each vendor's own pricing page, checked October 2026, in US dollars.
| Model | How it works | Real examples | Watch out for |
|---|---|---|---|
| Per seat | A monthly fee for each staff login | Intercom $29, $85 or $132 per seat; Zendesk Suite Team $55 per agent billed annually ($69 monthly) | Cost grows with staff; AI usually charged on top |
| Per resolution or outcome | You pay when the AI resolves or routes a conversation | Intercom Fin $0.99 per outcome; Zendesk $1.50 committed or $2.00 pay as you go per automated resolution; HubSpot Customer Agent $0.50 per resolution | Bill moves with volume; read how "resolved" is defined |
| Per AI conversation | A bundle of AI conversations each month | Tidio Lyro $39 for 50, up to $700 for 1,000 (monthly billing); Freshchat Freddy $49 per 100 sessions | A separate meter on top of the chat plan |
| Message credits | Credits per AI reply; some models use more credits | Chatbase Hobby $40 a month for 700 credits; extra credits $40 per 1,000 | Stronger models burn credits faster |
| Flat plan with allowance | Fixed monthly fee, AI replies included up to a limit | ReplyKit $29 for 1,000 AI replies, $49 for 5,000, $99 for 20,000 | What happens at the limit and what a top-up costs |
| Custom build | A developer builds it; you pay for hosting and AI usage | One-off project fee plus running costs (estimate below) | Maintenance never ends |
Top-up packs sit alongside several of these. ReplyKit sells 1,000 extra replies for $10 that never expire; Chatwoot sells 1,000 Captain AI credits for $20; Botpress auto-buys $10 AI credit grants when you near your spend limit.
What does an AI chatbot cost per conversation?
Per 100 AI-handled conversations, published AI fees range from about $4 to $200. The spread is huge because some tools charge for the outcome and others for the replies.
| Tool | AI fee per 100 AI-handled conversations | On top of |
|---|---|---|
| Zendesk | $150 committed, $200 pay as you go | Suite plan per agent (5 or 10 resolutions per agent included) |
| Intercom Fin | $99, if every conversation is a billable outcome | Seats from $29 each |
| Tidio Lyro | $75 at the 100 tier, $70 at the 1,000 tier | Tidio plan from $29 a month |
| HubSpot Customer Agent | $50 | A Professional or Enterprise edition |
| Freshchat Freddy | $49, after the first 500 sessions included once | Plan from $19 per agent a month (annual) |
| ReplyKit | About $4 at the top-up rate, assuming 4 AI replies per conversation | Plan from $29, which already includes 1,000 replies |
Two cautions. First, per-outcome tools only charge when the AI resolves or routes a conversation, so your real bill may be lower than the worst case. Second, ReplyKit counts AI replies, not conversations, and "4 replies per conversation" is our illustrative assumption; long conversations use more. Incoming messages, your own replies and system messages are not counted.
How much does an AI chatbot cost per month for a small business?
For three hypothetical businesses, monthly totals run from $29 to over $1,000 depending on the tool. These use list prices (monthly billing where shown) and assume every AI conversation is billable, so treat them as worst cases for the per-conversation tools.
| Business (hypothetical) | Tidio plan plus Lyro | Intercom seats plus Fin | ReplyKit |
|---|---|---|---|
| Solo salon: 100 AI conversations a month, 1 person | $29 Starter + $75 Lyro = $104 | $29 seat + $99 = $128 | Starter $29 (about 400 replies) |
| Clinic: 400 AI conversations, 2 staff | $89 Growth (400 tier) + $350 Lyro (500 tier) = $439 | $58 seats + $396 = $454 | $39 to $49 (about 1,600 replies) |
| Agency: 1,000 AI conversations, 3 staff | $179 Growth (1,000 tier) + $700 Lyro = $879 | $87 seats + $990 = $1,077 | Growth $49 (about 4,000 replies) |
This is not a like-for-like product comparison. Tidio and Intercom include full helpdesks, ticketing and integrations that ReplyKit does not have, and they are built for website-first support teams. ReplyKit is built for WhatsApp and website inquiries at service businesses. The point is the pricing model: when AI is metered per conversation, the AI fee becomes most of the bill as volume grows. For WhatsApp-specific costs, including Meta's message fees on the official API, see our WhatsApp AI agent cost guide.
How much does it cost to build a custom AI chatbot?
A custom build usually costs thousands of dollars upfront, then hosting, AI usage and maintenance every month. It only makes sense when you need the bot inside your own systems.
Building wins when the bot must read your order database or booking system, or when you are a software company and the bot is part of your product. Our comparisons of buying vs building and a freelancer-built chatbot go through the trade-offs.
What hidden costs come with an AI chatbot?
The headline price is rarely the bill. These are the extras we see most often on small business invoices.
- AI sold separately. The chat plan and the AI meter are two subscriptions on several tools.
- Seats. Adding a receptionist or a second location adds a seat fee every month.
- Minimums. Fin on top of another helpdesk has a minimum of 50 outcomes a month.
- Branding removal. $29 a month on tawk.to, $1,188 a year on Chatbase.
- Credit multipliers. Stronger AI models can use several credits per reply.
- Channel fees. WhatsApp tools on the official API pass on Meta's per-message charges; see WhatsApp Business API pricing explained.
- Your time. Writing instructions, keeping prices current and reviewing chats each week. Plan an hour a week at first.
- Wrong answers. In 2024 a Canadian tribunal ordered Air Canada to pay a passenger $812 after its website chatbot gave wrong fare advice, ruling the airline was responsible for what its chatbot said (CBC News). A chatbot that answers only from your content and admits when it does not know is cheaper in the long run.
How do I estimate my monthly chatbot volume?
Count last month's inquiries, estimate how many the AI can handle, and multiply by replies per conversation. You need these numbers to compare any two price lists.
- Count conversations. Add up last month's new chats across your website, WhatsApp, forms and DMs. Four weeks of real numbers beat any guess.
- Separate new inquiries from existing customers. Both count, but inquiries are where speed wins business.
- Estimate the AI share. Read 50 recent chats and mark the ones answerable from your website, price list and FAQ. That percentage is your AI-handled share.
- Count replies per conversation. In 10 typical chats, count how many replies your side sent. That is your replies per conversation.
- Multiply. Conversations times AI share gives AI conversations, the number per-resolution tools charge on. Multiply again by replies per conversation for tools that count replies or credits.
- Add headroom. Add about a third for your busiest month, and price the plan you need then, not on a quiet month.
- Price each tool. Put your numbers into each vendor's calculator, including seats, add-ons and branding removal.
To see whether that spend pays back, run the numbers in our chatbot ROI worksheet.
Where ReplyKit fits on price, and where it does not
ReplyKit uses the flat-plan model: $29, $49 or $99 a month with 1,000, 5,000 or 20,000 AI replies, and $10 for 1,000 extra replies that never expire. Annual billing gives two months free. Every plan includes the AI, a website assistant, booking with reminders, a leads CRM and handoff, with no seats, no per-resolution fee and no Meta fees, because WhatsApp connects through Quick Connect, an unofficial QR pairing rather than the official API. That pairing is not sanctioned by Meta and a number can be restricted, so use a dedicated number.
It is not the cheapest choice if your volume is tiny: a free tier may cover 50 chats a month. It is not the right tool if you need a full helpdesk with ticketing and email, broadcasts, or the official WhatsApp API. If your inquiries come by WhatsApp and website and you want one predictable bill, compare the plans on our pricing page or start a 7-day free trial with no credit card.
Frequently asked questions
How much does an AI chatbot cost per month?
For a small business, from free (with tight caps) to several hundred dollars. Flat plans with AI included start around $29 a month. Per-seat helpdesks with per-resolution AI fees cost more as volume and staff grow.
Is per-resolution pricing cheaper?
At low volume it can be, because you only pay when the AI resolves or routes a conversation. As volume grows the fee adds up: 1,000 Fin outcomes at $0.99 is $990 a month before seats. Estimate your volume first, then compare.
How much does it cost to build a custom AI chatbot?
Usually thousands of dollars upfront, plus hosting, AI usage and maintenance. Our illustrative estimate is $2,400 to $15,000 for a freelancer build, but real quotes vary widely with scope. Building makes sense when the bot must work inside your own systems.
Does an AI chatbot charge per message?
Some do. Credit-based tools charge per AI reply, and stronger models can use several credits per reply. Others charge per conversation, per resolution or a flat fee with an allowance. Check which unit your vendor counts.
What are the hidden costs of an AI chatbot?
AI sold separately from the chat plan, per-seat fees, monthly minimums, branding removal, channel fees such as Meta's charges on the WhatsApp API, and your own time keeping the content current.
How much does a WhatsApp AI chatbot cost?
Between about $29 and $250 a month for most small businesses, depending on whether AI is included and whether the tool uses the official API with Meta's message fees. Our WhatsApp AI agent cost guide breaks it down.
One price, AI replies included
$29 a month for 1,000 AI replies on WhatsApp and your website. Try it with a 7-day free trial, no credit card needed.
