Calendly alternatives for appointment booking: free tools, India prices, and when to book inside the chat instead
This is for clinics, salons, consultants and other service businesses who use Calendly, or a booking link like it, and want something cheaper, better suited to appointments, or closer to where customers actually ask. You get five real scheduling tools with prices checked in October 2026, the free options, the best picks for India, and a plain comparison of sending a link versus booking inside the conversation.
Quick answer
The best Calendly alternatives for appointments are Cal.com (free for individuals), Acuity Scheduling (from US$16 a month billed yearly), Square Appointments (free plan for solo professionals), Zoho Bookings (free for one user, with rupee pricing) and TidyCal (free, or a US$29 lifetime deal). If most bookings start in WhatsApp chats, an AI agent that books inside the chat can replace the link step.
What are the best Calendly alternatives for appointment booking?
For appointments rather than sales meetings, look at Cal.com, Acuity Scheduling, Square Appointments, Zoho Bookings and TidyCal. Each is a real scheduler with a booking page, calendar sync and reminders.
| Tool | Free option | Paid from | Best for | Worth knowing |
|---|---|---|---|---|
| Cal.com | Free for individuals, unlimited event types | Teams about US$12 per user a month (Cal.com's page does not say if that is the monthly or yearly rate) | Solo professionals and small teams who want a generous free plan | Free plan includes email and SMS notifications and Stripe or PayPal payments |
| Acuity Scheduling | 7-day trial, no card | Starter US$16 a month billed yearly, US$20 monthly | Clinics, coaches and studios with several calendars | Text reminders start on Standard, US$27 billed yearly |
| Square Appointments | Free plan for solo professionals | Plus US$49 a month per location | Salons and spas that also take card payments | Free tier has online booking, reminders and no staff limit |
| Zoho Bookings | Free for one user | Basic US$6 per user a month billed yearly | Businesses already on Zoho, and India | Lists SMS and WhatsApp among its notification integrations |
| TidyCal | Free, unlimited bookings | US$29 one-time lifetime deal, or Pro US$12 a month | Budget-conscious freelancers and coaches | 1% platform fee on paid bookings except on Pro |
All prices from each vendor's own pricing page, checked October 2026, in US dollars unless stated.
Is there a free Calendly alternative?
Yes, several. Cal.com, TidyCal, Zoho Bookings and Square Appointments all have free plans you can run a small business on, and Calendly has its own free plan with one event type.
- Cal.com Free is the most generous for one person: unlimited event types and calendars, email and SMS notifications, more than 100 app integrations and payments through Stripe or PayPal.
- TidyCal Free gives unlimited bookings and booking types, paid and recurring bookings, and one calendar connection, with a 1% platform fee on payments.
- Zoho Bookings Forever Free covers one user with online meetings, email notifications and reminders, and two-way calendar sync with Zoho, Google and Microsoft.
- Square Appointments has a free tier for solo professionals with online booking, appointment reminders and unlimited staff calendars.
The free plans differ mostly in reminders and team features. If no-shows are your real problem, check which reminder channel each plan includes; our guide to reducing no-shows with reminders explains why the channel matters.
What does Calendly cost, for comparison?
Calendly is free for one event type and one calendar connection. Standard is US$10 per seat a month and Teams US$16 per seat a month, both billed yearly. Enterprise starts at US$15,000 a year.
Standard adds unlimited event types, several calendars, automated reminders and payments through Stripe or PayPal. Calendly also now sells a Notetaker and an AI scheduling assistant called Callie that works over email. It is an excellent tool for meetings between professionals. For appointment businesses, the tools above often fit better because they are built around services, staff and in-person visits.
What is the difference between sending a booking link and booking inside the chat?
A booking link sends the customer away from the conversation to a separate page to finish. Booking inside the chat keeps them in WhatsApp: the assistant offers times and confirms one in the same thread.
Count the steps for a customer who has just asked, on WhatsApp, "Can I come in this week?"
| Step | With a booking link | Booking inside the chat |
|---|---|---|
| 1 | Someone on your team sees the message, maybe hours later, and sends the link | The assistant replies in seconds with two or three open times |
| 2 | Customer taps the link and a browser opens | Customer replies "Thursday 4pm" |
| 3 | Customer picks a service and a day on a calendar | Assistant asks for their name if it does not have it |
| 4 | Customer types name, email and phone into a form | Booking confirmed in the chat |
| 5 | Customer confirms, then returns to WhatsApp, or does not | Reminder arrives in the same chat about 24 hours before |
Neither is wrong. The link is self-service and great when customers expect it, for example a coach's discovery call booked from a website. The in-chat version suits customers who already chose WhatsApp to talk to you and may not want a form. In our experience the delay in step one matters most: a link sent three hours later is three hours of the customer shopping elsewhere. Our guide on response time and leads covers why.
When is a booking link still the right answer?
When the customer starts on your website or email, when they need to pay in advance, or when they want to see every slot and choose for themselves.
- Prepayment or deposits. Cal.com, Acuity, Square and TidyCal take payment at booking. Payment inside a WhatsApp chat is a different matter.
- Long intake forms. A scheduler with a booking form suits clinics that need details such as medical history before a first visit.
- Group sessions and packages. TidyCal, for example, sells session packages and group bookings, and Cal.com offers recurring and collective events on Teams. Chat booking is built for one appointment at a time.
- Email-first clients. Professionals who book over email are well served by Calendly or Cal.com.
Which Calendly alternative is best in India?
Zoho Bookings is the easiest pick for India because it publishes rupee prices: Basic is ₹480 per user a month, or ₹360 billed yearly, and Premium ₹720, or ₹540 billed yearly. Cal.com's and TidyCal's free plans cost nothing anywhere, which makes them easy to try.
Zoho's price file lists those INR figures alongside USD. If your clients mostly message you on WhatsApp, as is common in India, check which tools can send reminders there. Zoho Bookings lists WhatsApp among its notification integrations; confirm the plan and any extra cost with Zoho. For a broader view of WhatsApp booking in India, see our WhatsApp chatbot India guide.
Where ReplyKit fits: it books in the chat, but it is not a scheduler
We make ReplyKit, so weigh our view accordingly. ReplyKit is not a standalone scheduling app and does not replace Calendly for meetings booked from email or your website. It is an AI agent that answers WhatsApp and website chat, and booking is one of the things it does inside those conversations.
You set your hours and services. When a customer asks, the AI offers real open slots from those hours, books the one they pick with double-booking protection, and sends a reminder about 24 hours before. Each booking can be exported to any calendar app as an .ics file. It is not a Calendly link; nothing leaves the chat. Before booking, the AI also answers the questions people ask first, like price and location, from your own website and price list. How the double-booking check works is explained in this explainer.
Say a physiotherapy clinic gets most new patients through WhatsApp. A patient asks at 10pm whether a back pain session is available this week and how much it costs. The AI answers the price from the clinic's list, offers Thursday 4pm or Friday 9am, books Thursday, and the reminder goes out on Wednesday afternoon. Plans start at US$29 a month with AI replies included.
WhatsApp connects through Quick Connect, which pairs a number by QR code in about two minutes. It is unofficial and not sanctioned by Meta, a number can be restricted, and we recommend a dedicated number.
When ReplyKit is the wrong choice. If you need payments or deposits at booking, class packages, intake forms, two-way calendar sync, staff rostering or a public booking page, use one of the schedulers above. ReplyKit has no payments in chat and no calendar sync beyond .ics export. Our guide to online booking systems for small businesses helps you choose.
Can you run a scheduler and in-chat booking together?
Yes, if you split availability clearly. ReplyKit and a scheduler like Cal.com do not share calendars, so the same slot could be booked twice if both offer it.
- Split by channel and staff. For example, website and email bookings go to the scheduler for one practitioner; WhatsApp bookings go to the AI for another.
- Or split by time. Give WhatsApp weekday mornings and the booking page afternoons and weekends.
- Import the .ics files into the calendar you work from, so your team sees every appointment in one place.
- Review weekly. Move hours between the two based on where bookings actually come from.
