Appointment reminder apps for business: SMS, WhatsApp or email, the apps compared, and what a month of reminders really costs
This is for clinics, salons, tutors and service businesses losing slots to people who simply forget. You will get the research in numbers, an honest comparison of SMS, WhatsApp and email reminders, the main apps with prices checked this month, and a reminder schedule you can copy.
Quick answer
An appointment reminder app sends automatic messages before each booking so fewer people forget. Text reminders work: a Cochrane review found attendance rose from 67.8% with no reminder to 78.6% with a text. SMS reaches everyone, WhatsApp gets replies and reschedules in the same thread, and email is free but easy to miss.
Do appointment reminders actually reduce no-shows?
Yes, and the effect is large enough to matter for any appointment business. The best evidence comes from healthcare, where no-shows are measured carefully.
The Cochrane review of mobile phone messaging reminders (Gurol-Urganci and colleagues, 2013) pooled seven studies with 5,841 participants. Attendance was 67.8% with no reminder, 78.6% with a text reminder and 80.3% with a phone call reminder. The authors rated the evidence for texts over no reminder as moderate quality, and found texts had a similar effect to phone calls.
Put into slots: if a clinic books 100 appointments a week and roughly 32 people would miss them without reminders, text reminders would bring that down to about 21. The phone call does slightly better, but someone has to make 100 calls. That is the whole case for an app: nearly the phone call's effect, without the phone calls.
The studies used SMS. WhatsApp reminders were not part of that review, so treat the WhatsApp-specific advantages below as our product experience, not research.
SMS, WhatsApp or email reminders: which works best?
SMS is the safest default for reach, WhatsApp is best where customers already message you and you want replies, and email is a free backup that should rarely be the only reminder.
| SMS | |||
|---|---|---|---|
| Reaches | Any mobile number | People who use WhatsApp (most phones in many countries) | Anyone with an email address |
| Typical cost | Per message or credit pack, varies by country | Official API: Meta charges per template message by country; some tools bundle it | Usually free |
| Two-way replies | Often one-way or "reply C to confirm" | Full conversation: "can I move it to Friday?" | Rarely read in time |
| Reschedule in the same thread | Usually a link to a booking page | Yes, if a person or agent answers | Link to a booking page |
| Rules to know | Consent and opt-out rules for texts in many countries | WhatsApp Business Messaging Policy; official API needs approved templates | Anti-spam and privacy law |
| Best for | Mixed or older customer base, the US | Markets where WhatsApp is the norm; clinics, salons, tutors | Backup, calendar files, preparation notes |
Where customers already use WhatsApp, its biggest advantage is not that the message gets read; it is what happens next. A customer who replies "can't make it, sorry" in the same chat frees the slot instead of silently not turning up. For wording that gets those replies, use our appointment reminder templates.
Appointment reminder apps compared
Most reminder apps are part of a booking system; a few are standalone and plug into the calendar you already use. Prices were checked on each vendor's own page in October 2026.
| App | Type | Channels | Price checked October 2026 | Good for |
|---|---|---|---|---|
| Apptoto | Standalone reminder service | Text, email, voice | From $39 a month billed monthly ($30 annual), $10 per extra user; overage $0.12 per credit | Practices that keep their existing calendar |
| Square Appointments | Booking system | Text and email; clients reply to confirm or cancel | Free plan available; Plus $49 a month per location | Businesses taking card payments |
| Setmore | Booking system | Email on Free; SMS on Pro | Pro $5 per user a month billed annually, with 500 SMS credits per member | Low-cost teams |
| SimplyBook.me | Booking system | Email included; SMS and WhatsApp by credit | Free plan; SMS or WhatsApp credits at $8 per 100 | Clinics and studios wanting WhatsApp reminders |
| Fresha | Salon and wellness platform | Text, WhatsApp, email, app | Paid plans in local currency; 20 free texts or WhatsApps per team member a month | Salons and spas |
| Timely | Salon and wellness platform | SMS and email | From $26 per staff a month with 100 SMS included | Hair and beauty teams |
| Acuity Scheduling | Booking system | Email; text from Standard | Standard $34 a month ($27 annual) | Therapists and coaches |
| Cal.com | Scheduling link | Email and SMS notifications | Free for one user; Teams $12 per user | Consultants and meetings |
If you are choosing a whole booking system rather than just reminders, our guide to the best online booking systems for small business goes wider.
Is there a free appointment reminder app?
Yes, for email reminders and for small volumes, but free text reminders are rare because every SMS costs the provider money.
- Square Appointments Free lists appointment reminders on its free plan; Square earns on card payments instead.
- Cal.com Free includes email and SMS notifications for one user.
- Zoho Bookings Forever Free includes email notifications and reminders for one user.
- Setmore Free sends one email reminder per appointment for up to 4 users; SMS needs Pro.
- SimplyBook.me Free includes basic email reminders for up to 50 bookings a month.
- Google Calendar booking pages are free on a personal account, but Google lists automatic email reminders among its premium features (Google's comparison).
A fully free setup can work for a solo business: a free booking tool sending email reminders, plus a personal WhatsApp message the day before for anyone who has not confirmed. It costs time instead of money. Our guide to automating WhatsApp messages for free covers the limits of that approach.
What does a month of appointment reminders cost?
Take a hypothetical physiotherapy clinic with 300 appointments a month and one reminder each. Here is how the bill works out in each channel; prices change, so treat these as an illustration.
| Route | Working for 300 reminders | Monthly cost |
|---|---|---|
| Email only, free tool | Zoho Bookings, Cal.com or Setmore Free | $0, but easily missed |
| Setmore Pro, 2 staff | 2 users at $5 (annual billing); 1,000 SMS credits included | $10 |
| SimplyBook.me credits | 3 packs of 100 SMS or WhatsApp credits at $8, on top of your plan | $24 plus plan |
| Apptoto, 2 users | $39 plus $10 for the second user, monthly billing; included credits vary by plan | From $49 |
| WhatsApp through the official API | 300 utility template messages at Meta's rate for your country, plus the provider's fee | Varies by country |
| ReplyKit | Reminders for bookings ReplyKit makes in WhatsApp | Within a plan from $29 |
The cheapest option is not always email. Email is free, but if it gets missed you pay in empty slots. Using the Cochrane figures, even a few extra attended appointments a month covers the cost of any of these tools for most clinics and salons.
Do you need permission to send appointment reminders?
Generally the customer must have given you their number for this purpose and must be able to stop the messages. The exact rules depend on the channel and the country, so check yours.
- WhatsApp. The WhatsApp Business Messaging Policy requires opt-in permission from the recipient before you message them, and you must respect every request to stop. A reminder about a booking the customer made with you in that chat is about as clearly expected as a business message gets.
- SMS. Many countries regulate automated texts, and the US rules are strict. Booking systems usually collect consent at booking; make sure that box is on.
- Health information. Keep the reminder to time, place and how to change it. Do not put the reason for the visit in the message, especially for sensitive services.
More detail on opt-in and opt-out is in WhatsApp opt-out and consent rules for businesses.
How many reminders, and when? A schedule by appointment type
For most appointments one reminder about 24 hours before is enough. Add a second only when preparation or travel makes it worthwhile. These are our recommendations, not research findings.
| Appointment type | Reminders | Why |
|---|---|---|
| Haircut, nails, massage, tutoring | 24 hours before | Enough time to cancel and refill the slot |
| Dental check-up, physio, consultation | 24 hours before | Same; add parking or forms if they change anything |
| Long or high-value (colour, surgery consult, photo shoot) | 3 days and 24 hours before | Time to prepare and to rebook a long slot |
| Procedures with preparation (fasting, no make-up) | When booked, then 24 hours before | The instructions matter more than the reminder |
| Same-day bookings | Confirmation only | A reminder an hour later is just noise |
Whatever the schedule, end each reminder with an easy way to confirm or move the appointment. Our guide to reducing no-shows with WhatsApp reminders covers wording and refilling cancelled slots.
Where ReplyKit fits for appointment reminders
We make ReplyKit, so weigh this accordingly. ReplyKit is not a standalone reminder app. It is an AI agent for WhatsApp and website chat that books appointments into real open slots in the conversation, and for every booking it makes, it sends a WhatsApp reminder about 24 hours before. If the customer replies "can I move it?", the AI handles the reschedule in the same chat, with double-booking protection. Bookings export to any calendar app as an .ics feed.
That suits a business whose customers book by WhatsApp and which wants booking and reminders in one place. Reminders are part of the booking feature on every plan, from $29 a month with 1,000 AI replies (see all plans).
It does not fit if you want reminders for appointments booked somewhere else: ReplyKit does not import or read appointments from Google Calendar or another booking system, and it does not send SMS or email reminders. In that case a standalone reminder app or your booking system's reminders are the right tool. WhatsApp connects through Quick Connect, an unofficial QR pairing that Meta does not sanction; read whether WhatsApp can ban your number and use a dedicated number. Before pairing you see one plain notice, and pressing Connect is your acceptance of section 3 of our terms. To see booking and reminders working together, start a 7-day free trial, no card needed.
Frequently asked questions
What is the best appointment reminder app?
It depends on where your bookings live. If you already use a booking system, its built-in reminders are usually best. If your appointments are in Google Calendar or Outlook, a standalone app that reads that calendar works well. If customers book on WhatsApp, an agent that books and reminds in the chat keeps it all in one place.
Do text reminders really reduce no-shows?
Yes. A Cochrane review of seven studies found attendance of 78.6% with a text reminder compared with 67.8% with no reminder, about the same effect as a phone call reminder.
Are WhatsApp reminders better than SMS?
They are better for replies and rescheduling, because the customer can answer in the same chat. SMS reaches anyone with a mobile number, so it is safer if many of your customers do not use WhatsApp.
Is there a free appointment reminder app?
Several booking tools include free email reminders, and some include a small number of free texts. Regular SMS reminders almost always cost something, because each text costs the provider money.
When should I send an appointment reminder?
About 24 hours before for most appointments. Add an earlier reminder for long, expensive or preparation-heavy appointments, and skip reminders for same-day bookings.
Can ReplyKit send reminders for appointments booked elsewhere?
No. ReplyKit sends a WhatsApp reminder about 24 hours before each appointment it books in the chat. It does not import appointments from other calendars or booking systems, and it does not send SMS or email.
Book and remind in the same WhatsApp chat
ReplyKit books real open slots in WhatsApp and website chat, reminds the day before, and handles reschedules. 7-day free trial, no credit card.
