A WhatsApp AI agent for umrah and hajj travel agencies: answer package prices, departure dates, hotel distances and document questions, and collect the details for a quote

An umrah agency's WhatsApp is a stream of the same questions in Malay and English: which dates still have seats, how much for the 12-day package, how far is the hotel from the Haram, what documents, can pay in instalments, got group discount. Each takes a consultant three minutes, and there are two hundred of them a week in the months before Ramadan.

Quick answer

Give a WhatsApp AI agent your package sheet (dates, prices by room type, hotels and their distance to the Haram, airline, what is and is not included), the document and vaccination checklist, the deposit and instalment schedule, and your booking rules, and it answers every enquiry in seconds, in Malay or English, and collects the traveller's name, preferred date, pax and room type for a consultant to quote. It hands over religious questions, special needs, elderly travellers and anything about a specific person's eligibility. ReplyKit does this from $29 a month, and during peak season the Growth plan's three numbers keep up.

The package sheet, written for an agent

Most agencies already have the sheet; it just needs to be in plain lines the agent can quote exactly:

Umrah Ekonomi 12 hari, 14 to 25 Feb: quad RM 6,490, triple RM 6,890, double RM 7,490. Makkah: Hotel X, 350 m to Masjidil Haram. Madinah: Hotel Y, 200 m to Masjid Nabawi. Flight: Saudia direct KUL to JED. Included: visa, flights, hotels, 2 meals daily, ziarah, mutawwif, bus. Not included: travel insurance, personal expenses. Deposit RM 1,500 within 3 days; balance 45 days before departure. Seats left: 9.

One block per package and departure. Update seat counts weekly and remove sold-out departures, and the agent stops offering them. The checklist for documents (passport validity of six months, the vaccination certificate your agency requires, photos) goes in as its own note. Guidance on structuring this is in what to put in the knowledge base.

From enquiry to a quote the consultant can send

  1. The agent answers the question asked, then asks for preferred month, number of travellers and room type.
  2. It quotes the matching package line, including what is included and the deposit schedule, in the customer's language.
  3. It collects the lead's name and whether any traveller is elderly, needs a wheelchair or has a medical condition, then hands over to a consultant with everything gathered.
  4. On the Growth plan it sends one follow-up nudge if the customer goes quiet, which in this trade often brings the booking back.
  5. Group leaders (a surau, an office, a family of 20) are handed over immediately with the headcount; group pricing is a human conversation.

What a consultant always handles

One honest note before the setup. ReplyKit connects to your number by QR pairing, the same linked-device mechanism as WhatsApp Web. It is live in minutes and needs no Meta approval, but Meta does not sanction automation this way, so a number can be restricted. We enforce limits of 30 replies an hour and 200 a day per number with a warm-up ramp for new numbers, reply to inbound messages only, and recommend a dedicated number rather than your main line. The full picture is in our ban guide.

Peak season and cost

Enquiries triple in the two months before Ramadan and again after hajj quotas are announced. Each paired number answers up to 200 replies a day, so agencies on the Growth plan pair a second and third number for the season and put them on different adverts, which also tells you which advert works. Replies are shared from one monthly allowance, 5,000 on Growth, with $10 packs of 1,000 that never expire. For the official hajj season, note that quota and registration run through Tabung Haji in Malaysia; the agent should say so and not take hajj bookings it cannot fulfil.

Starter at $29 a month covers one number, one agent and 1,000 replies; Growth at $49 adds two more numbers, five agents and follow-up nudges; the 7-day free trial needs no card. Replies you receive and messages you send yourself are free; only the agent's own messages count. What it costs in practice.

Frequently asked questions

Can the agent answer in Malay?

Yes. It replies in the language the customer writes in, so Malay enquiries get Malay answers and English ones get English.

Will it answer religious questions?

No. Instruct it to refer those to your ustaz or mutawwif and it hands over immediately.

Can it quote package prices by room type?

Yes, from your package sheet, including what is included, deposit and balance dates, and seats left if you keep that updated.

Does it take the booking?

It collects the details a consultant needs and hands over. Confirmation and payment stay with your team.

What about hajj?

In Malaysia hajj goes through Tabung Haji's quota and registration. The agent explains that and takes umrah enquiries only, unless your agency is an appointed operator and you add that knowledge.

How we know this. Travel agencies are a steady ReplyKit customer group, and umrah operators in particular asked for the package-sheet and document-checklist handling described here; the hand-over list reflects what they chose to keep human.
