Trengo alternatives: seven options for smaller teams, with a worked monthly bill

Trengo is a well-built omnichannel inbox, but its entry plan is now priced for teams of ten. If you are a smaller team, or you mostly need WhatsApp answered, this guide shows what Trengo costs, what a four-person team would pay on six alternatives, and how to move without losing history.

Quick answer

The best Trengo alternative for a small team depends on channels. For a multichannel inbox at a lower entry price, look at respond.io, Crisp or Chatwoot. For email-first teams, Front. For Southeast Asia, SleekFlow. If your customers mostly message on WhatsApp and you want AI replies and bookings at a flat price, ReplyKit starts at $29 a month.

What does Trengo cost in October 2026?

Trengo's public plans start at EUR 299 a month on yearly billing, or EUR 349 month to month, for up to 10 users and 500 conversations a month. AI use adds a surcharge on each conversation.

Trengo states that WhatsApp service conversations are free on its side; other WhatsApp, voice and SMS usage is billed at its rates. Its AI Journeys feature was in beta with pricing not final when we checked. Enterprise is custom.

Trengo's strengths are real: a clean shared inbox across WhatsApp, email, voice, social and live chat and solid automation rules. The issue for a three- or four-person business is simple: you pay for ten seats and a conversation allowance before you answer a single message.

The real bill for a four-person team: Trengo against six alternatives

Say a hypothetical four-person beauty clinic handles 800 conversations a month, and AI is involved in 400 of them. Here is what list prices give, checked October 2026. Trengo bills in euros and most others in US dollars, so compare within a rough range, not to the cent.

Official-API tools (Trengo, respond.io, Front, Freshchat, Chatwoot, Crisp) also pass on Meta's per-message charges for templates, and since 1 October 2026 Meta charges for service replies beyond 1,000 free per number each month, per its pricing page. How each vendor passes that on varies, so ask.

Seven Trengo alternatives and the team each one suits

We make ReplyKit, so weigh our view accordingly. Prices are from each vendor's own page in October 2026.

respond.io

Suits: a sales or support team of five to ten working WhatsApp, Instagram, Messenger and more. Starter is $79 a month billed yearly ($99 monthly) for five users without AI agents; Growth is $159 yearly ($199 monthly) for ten users with AI agents included under fair use. Contacts above the allowance are billed per 100. Closest to Trengo in spirit. See respond.io alternatives too.

Front

Suits: email-heavy teams that want a shared inbox that feels like email. Starter is $25 a seat for up to 10 seats on one channel type; Professional is $65 a seat and adds omnichannel. The Autopilot AI agent starts at $0.05 a conversation. Native WhatsApp is an add-on on Professional and above at Meta's cost plus a 20% admin fee.

Crisp

Suits: teams of four to ten who want one predictable bill. Essentials is $95 a month for ten seats with AI credits and the AI chatbot. Our Crisp alternatives page covers where it falls short.

Chatwoot

Suits: technical teams or anyone who wants the option to self-host. Free Hacker plan for two agents on live chat; Startups $19 and Business $39 per agent with all channels and monthly Captain AI credits. The core is MIT-licensed open source.

SleekFlow

Suits: teams in Hong Kong, Singapore and Malaysia. Pro was listed at RM 399 a month billed yearly on the Malaysian page, with three users, 1,000 active contacts and an AI agent; WhatsApp numbers carry a hosting fee and per-message rates. More in SleekFlow alternatives.

Freshchat

Suits: teams already on Freshdesk. Free for up to 10 agents on the website widget; WhatsApp and the Freddy AI Agent from Growth at $19 per agent billed yearly, plus $49 per 100 AI sessions.

ReplyKit

Suits: owner-run and small teams whose enquiries mostly arrive on WhatsApp and the website. An AI agent answers, qualifies and books; people take over in one click. $29, $49 or $99 a month with AI replies included.

Do you actually need an omnichannel inbox?

Only if your conversations are genuinely spread across channels. Many small businesses pay for omnichannel and use one channel.

A quick test: export last month's conversations from Trengo and count them by channel. If one channel is more than 80% of the total, you are paying for breadth you do not use, and a tool built for that channel will usually be cheaper and better at it. If you truly split across email, Instagram, WhatsApp and phone, stay omnichannel and pick from respond.io, Front, Crisp or Chatwoot. Our explainer on what an omnichannel inbox is goes deeper.

A switching checklist before you cancel Trengo

Work through this during the new tool's trial, while Trengo is still live.

  1. Export contacts and conversation history from Trengo, and check the file opens.
  2. List every channel connected in Trengo, including email addresses and phone numbers, so nothing goes quiet on the switch day.
  3. If you use WhatsApp on the official API, ask the new vendor how your number migrates and how long it is offline.
  4. Copy your quick replies, labels and automation rules into a document; few tools import them.
  5. Run both tools side by side for a week on a test number or a single channel.
  6. Check your Trengo contract term and notice period before you cancel, especially on yearly billing.

Where ReplyKit fits, and where Trengo is still the better tool

ReplyKit is a fit if most of your enquiries are WhatsApp and website chat, and the work is answering questions, qualifying leads and booking appointments. It answers from your website, PDFs and price lists, understands voice notes and photos, offers real open slots with double-booking protection and sends a reminder about 24 hours before. You can compare the three plans against your Trengo invoice.

The trade-off is how WhatsApp connects. Quick Connect pairs your number by QR code as a linked device in about two minutes. It is unofficial, not the WhatsApp Business API, and a number can be restricted. You see one plain notice, and pressing Connect accepts section 3 of our Terms. We cap AI replies at 30 an hour and 200 a day per number by default and recommend a dedicated number. Read the API versus QR pairing guide before you decide.

Trengo, or respond.io and Front, remain the better choice if you need email, voice, Instagram, Messenger or SMS in one inbox, outbound broadcasts, the official API, or integrations beyond a CSV export. If WhatsApp and bookings are the job, try ReplyKit free for 7 days.

Frequently asked questions

How much does Trengo cost?

Trengo's Boost plan is EUR 299 a month billed yearly or EUR 349 monthly, for up to 10 users and 500 conversations a month. Pro is EUR 499 yearly or EUR 599 monthly for 20 users and 1,500 conversations. AI adds EUR 0.25 to EUR 0.30 per conversation.

What is a cheaper alternative to Trengo?

For a shared multichannel inbox, Crisp Essentials is $95 a month for up to ten seats and Chatwoot starts free for two agents. For WhatsApp enquiries with AI replies and booking, ReplyKit starts at $29 a month.

Is there a free Trengo alternative?

Chatwoot has a free plan for two agents and 500 conversations a month on live chat, and its open-source core can be self-hosted. Freshchat is free for up to 10 agents on the website widget. Neither free plan includes WhatsApp.

Which Trengo alternative is closest in features?

respond.io is the closest: a multichannel inbox with workflows, AI agents from its Growth plan and support for WhatsApp, Instagram, Messenger and more. Front is close for email-led teams.

Does Trengo charge for WhatsApp messages?

Trengo says WhatsApp service conversations are free on its side and other WhatsApp usage is billed at its rates. Meta's own charges for the official API still apply, including service replies beyond 1,000 free per number a month since 1 October 2026.

Can I keep my WhatsApp number if I leave Trengo?

Usually yes, but the steps depend on the new tool. Moving to another official API provider means migrating the number between providers; moving to a QR-paired tool means pairing the number from the WhatsApp app instead. Ask the new vendor before you cancel.

Pay for the channel you actually use

If most of your Trengo traffic is WhatsApp, test an AI agent on a dedicated number for a week. 7-day free trial, 300 AI replies, no credit card.

How we know this. We checked the pricing pages of Trengo, respond.io, Front, Crisp, Chatwoot, SleekFlow and Freshchat on 17 October 2026, and Meta's WhatsApp pricing page for the October 2026 service-message change. Trengo's page showed euro prices; SleekFlow showed Malaysian ringgit to us. The four-person bill is a worked example on list prices, not a quote. ReplyKit figures come from our product as it runs today. We make ReplyKit, so weigh our view accordingly; teams that need email, voice, social channels or the official API should stay omnichannel.
