After-sales support and warranty claims on WhatsApp: a process small businesses can run, what an AI agent handles, and the wording that keeps customers calm

A warranty claim is the one conversation where speed and tone decide whether you get a review or a complaint. The customer is already unhappy. If the first reply takes a day and asks for things one at a time, you lose them. If it takes a minute and collects everything at once, you usually keep them, even when the answer is no.

Quick answer

Run after-sales on WhatsApp as five steps: acknowledge within minutes, collect proof of purchase and photos in one exchange, check the claim against a written warranty policy, give a decision with a timeline, and close with a follow-up message. An AI agent does the first two steps and quotes the policy; a person makes the decision. Write the policy in plain words, keep the scripts below in your quick replies, and log every claim so patterns show up. ReplyKit handles the intake and hands the decision to you with everything attached.

The five-step process

  1. Acknowledge in minutes. "Sorry to hear that. Let me get this sorted. Could you send a photo of the issue and your receipt or order number?" Fast acknowledgement halves the heat.
  2. Collect once. Order number or receipt, date of purchase, photos or a short video, and a one-line description. Ask for all of it in one message, not four.
  3. Check against the policy. Within warranty period, covered fault, not excluded (misuse, accidental damage, normal wear). Quote the relevant line of the policy to the customer whether the answer is yes or no.
  4. Decide and commit to a timeline. Repair, replace, refund or decline, and by when. "We will replace it; the courier collects on Thursday and the new unit ships the same day."
  5. Close the loop. A message when it is done, and a check-in a week later. That check-in is where reviews come from; see getting reviews through WhatsApp.

What an AI agent does, and does not

The decision stays human because it is a judgement about money and the customer, and because a wrong automatic decision is worse than a slow right one. The agent's value is that the person opens the chat with the photos, the receipt and the policy line already there. Handling the emotion is covered in handling angry customers and refunds in refund and return requests.

Writing the warranty policy so it can be quoted

A policy the agent can quote has four parts, each a short line: what is covered (manufacturing defects), for how long (12 months from purchase), what is excluded (physical damage, water, unauthorised repair, normal wear), and what the remedy is (repair first, replace if not repairable, refund only within 14 days). Add the practical bits: who pays courier, how long repairs take, whether a loan unit is offered. Put it on your website too, so the agent and the customer read the same words. The complaint response templates give the tone for the harder messages.

Scripts for each stage

Acknowledge

Sorry this happened, and thanks for telling us. Let's sort it out. Please send: a photo or short video of the issue, your receipt or order number, and roughly when you bought it. I'll check it against the warranty straight away.

Covered, replacing

Good news: this is covered. We'll replace the unit. A courier will collect it on {day}; the replacement ships the same day and you'll have it by {day}. Keep the box if you can.

Covered, repairing

This is covered under warranty. Repair takes about {n} working days from the day we receive it. We'll send a collection on {day} and message you when it's ready.

Not covered

I've checked this against our warranty, and unfortunately {reason, e.g. accidental damage} isn't covered (section {x}). What we can do: a repair at {price}, or {alternative}. Would either help?

Closing the loop

Your {item} was delivered today. If anything isn't right, reply here and we'll fix it. Thanks for your patience.

Log every claim

Mark each claim in the CRM with the product and the fault. After three months the list tells you which product has a problem, which courier damages parcels, and which policy line customers misunderstand. That is cheaper than any survey. The routine is part of the monthly conversation audit.

Frequently asked questions

Can an AI agent decide a warranty claim?

It should not. It acknowledges, collects proof and photos, and quotes the policy; a person decides and commits to a timeline.

What should I ask for in the first reply?

Everything at once: a photo or video of the issue, the receipt or order number, and the purchase date.

How do I say no without losing the customer?

Quote the policy line, explain the reason, and offer an alternative such as a paid repair. Customers accept a clear no faster than a vague maybe.

Should warranty terms be on my website?

Yes, in the same words the agent quotes, so there is one version of the truth.

How fast should the first reply be?

Minutes. The acknowledgement does not need the answer; it needs to show the customer someone is on it.
