Before you use these

All templates are written for replies to people who messaged you first, or for customers who gave you their number for this purpose. Do not send them as outbound campaigns; that breaks WhatsApp's Business Messaging Policy. Edit the bracketed parts, keep the tone yours, and shorten anything that feels long on a phone.

The first minute

Acknowledgement (agent or person)

I am sorry to hear that, and thank you for telling us. [Name / A manager] will personally message you within [time] to put it right.

Apology with ownership

You are right, and I am sorry. [What went wrong] should not have happened, and it is on us. Here is what I will do: [action], by [time].

Ask for details

So I can fix this properly: could you send a photo of [item] and tell me [order number / date / who served you]? I will sort it out as soon as I have that.

Common cases

Wrong or damaged item

Sorry about that. I will send the correct item [today / tomorrow] at no cost, and you can keep or return the wrong one; no need to post it back. Tracking to follow.

Late delivery

I am sorry your order is late. It is currently [status], and I expect it to reach you by [date]. To make up for the wait, [goodwill]. I will update you tomorrow either way.

Poor service experience

I am sorry your visit did not meet the standard we aim for. I have spoken with the team about [issue]. I would like to offer [redo / partial refund / voucher] and to look after you personally next time.

Staff complaint

Thank you for telling me; I take that seriously. I will look into it with the staff member concerned today and come back to you by [time]. Meanwhile, [immediate remedy].

Repeated issue

Refunds and goodwill
