Fifteen WhatsApp quotation templates: the intake reply, the range, the quote, the follow-up and the acceptance

Quoting on WhatsApp is a sequence of short messages, and each one can be prepared in advance. Here are the fifteen, from the first reply to a vague price request through to the deposit, with the follow-up that is sent once and then stops.

Quick answer

Fifteen templates: the first reply that asks instead of guessing, three intake questions, a price range, a request for the details a firm quote needs, the quote message in phone format, a quote with two options, a revised quote, a validity reminder, a single follow-up, an acceptance and deposit message, a scope-change message, a polite decline of an unreasonable budget, and the graceful close when the customer chooses someone else.

Before you use these

All templates are written for replies to people who messaged you first, or for customers who gave you their number for this purpose. Do not send them as outbound campaigns; that breaks WhatsApp's Business Messaging Policy. Edit the bracketed parts, keep the tone yours, and shorten anything that feels long on a phone.

Intake

First reply

Happy to quote. So I get it right: what exactly do you need, [size / quantity / location], and when do you need it by?

Intake question

Thanks. One more: [budget range / photos / existing plans]? It helps me quote something you will actually want.

Price range

Based on that, jobs like yours usually run RM [low] to RM [high]. The exact figure depends on [factor]. Shall I send a firm quote once I have [detail / a site visit]?

Site visit needed

To quote accurately we need a quick site visit, [free / RM amount deducted from the job]. I can come on [day] at [time]. Does that work?

The quote

Quote

Quotation for [job], [date]
Scope:
- [item 1]
- [item 2]
- [item 3]
Price: RM [amount], includes [x], excludes [y]
Timeline: [duration or date]
Valid until: [date]
To confirm: reply YES and pay the deposit of RM [amount] via [link]. Questions welcome.

Two options

Two options for you:
Option A, [essential scope]: RM [amount]
Option B, [fuller scope with extras]: RM [amount]
Both valid until [date]. Most customers with [situation] choose [A or B] because [reason]. Which suits you?

Revised quote

Updated quote with [change]: RM [amount]. Everything else as before. Valid until [date]. Reply YES to confirm.

Validity reminder

A quick note that the quote of RM [amount] is valid until [date]; after that [prices / availability] may change. No pressure; just so you have the date.

Follow-up and outcomes

Single follow-up

Hi [name], following up on the quote for [job]. Any questions? If the budget is different from the quote, tell me and I will see what scope fits.

Acceptance

Great, thank you. Deposit of RM [amount] received; the job is confirmed for [date]. Next: [what happens next]. Receipt attached.

Scope change after acceptance

Noted, you would like to add [change]. That adjusts the price by RM [amount] and the timeline by [time]. Reply YES to proceed with the change.

Budget too low

I appreciate you sharing the budget. At RM [amount] we cannot do [full scope] to our standard, but we could do [reduced scope] for that figure. Would that help?

Chose someone else

Thanks for letting me know, and no problem at all. If it helps to compare, our quote includes [x and y]. If things change, we are here.

Missed call after quote

Sorry we missed your call. If it is about the quote, reply here with your question and I will answer right away.

Every template here can be a taught answer or an instruction line in a ReplyKit agent, so intake questions are asked in order, ranges given from your price list and the single follow-up sent on schedule without a person copying and pasting. The agent asks the questions in order, fills the lead card, and hands over when the template says a person should. Instructions are in how to write instructions.

The process behind the messages is in handling quotation requests, and the discount conversation in handling haggling.

Frequently asked questions

Scope in bullets, price with inclusions and exclusions, timeline, validity and the next step.

How many times should I follow up a quote?

Once, with an opening to adjust scope.

Should I offer options?
