Templates versus free text on WhatsApp: the 24-hour rule, template approval, and why replies do not need templates
If you read about the official WhatsApp API you will hit the word "template" everywhere. It is the rule that decides what a business may say and when, and it explains a lot about pricing and about why some tools cannot simply reply the way a person would. Here is the rule, in plain terms, and how ReplyKit handles it for you.
Quick answer
On the official WhatsApp Business API, once a customer messages you a 24-hour service window opens in which you can reply with any free text. Outside that window you may only send pre-approved template messages, categorised as marketing, utility or authentication, each priced by Meta. Templates need Meta approval, which can take hours to days. ReplyKit runs on the official API: it replies in free text inside the window and sends reminders and follow-ups through its own approved utility templates, so you never write or submit a template.
The 24-hour window
When a customer sends a message, the business has 24 hours to reply with anything: text, images, documents, in any wording, as a person would. Every new customer message resets the window. An AI agent on the official API works inside that window exactly as a human would. The window closes 24 hours after the customer's last message; from then on the business cannot send free text.
Templates outside the window
- A template is a pre-written message with placeholders, submitted to Meta for approval.
- Categories: marketing (promotions), utility (order updates, reminders), authentication (one-time codes). Each is priced differently by country.
- Approval checks wording and category and can take hours to days; rejected templates must be edited and resubmitted.
- Recipients must have opted in, and marketing templates are subject to quality ratings; low ratings reduce your messaging limits.
- Meta's pricing page lists per-message rates.
How ReplyKit handles it
Almost everything an enquiry-answering agent does happens inside the window, in free text. The two things that fall outside it, an appointment reminder the day before and a follow-up nudge to someone who went quiet, ReplyKit sends through its own utility templates, already approved on every connected number, with the customer's details filled in. Those are billed at Meta's per-message rate, a few cents each in most countries; replies inside the window carry no Meta fee. Broadcasts on the Growth and Pro plans use marketing templates you write in the Broadcasts tab; ReplyKit submits them to Meta for you. The quality rating and messaging limits that govern templates are explained in Meta's messaging limits explained.
Which matters to you
If your business sends promotions, order updates and reminders to people who did not message that day, you need templates and the official API. If your business answers people who message it and reminds them of what they booked, a done-for-you agent like ReplyKit handles the templates for you; the background is in the official platform explained.
