25 WhatsApp Business tips and tricks that save time and win customers
Most owners use about a third of what the free WhatsApp Business app can do. These 25 tips are the ones that actually save time or bring in customers, each with where to find it and the catch WhatsApp's help centre mentions in the small print. All were checked in October 2026.
Quick answer
The most useful WhatsApp Business tips are: fill every profile field, save your common answers as quick replies you insert with "/", set greeting and away messages, organize chats with lists, share a short link and QR code with a pre-filled message, reserve a business username, turn on two-step verification, and review linked devices monthly.
WhatsApp Business profile tips
1. Fill every field in your business profile. Customers see your name, description, address, business hours and category, and WhatsApp also shows the month and year you joined. An empty profile looks like a scam to cautious buyers. Our profile guide has twelve descriptions to adapt.
2. Reserve a business username. Tools, Profile, Create username. Up to 25 lowercase letters and numbers. Customers who do not have your number saved see the @username instead, and can start a chat by typing it. It is still rolling out, so reserve yours early. The catch: there is no searchable directory, so people must know the exact name.
3. Link your Facebook Page or Instagram profile. WhatsApp says the last few posts from them can show on your business profile, and linking can help you claim the same username. This may not be available in your region yet.
4. Add a catalog, even for services. Each item needs a unique title, at least one image and a country of origin; price, sale price, description, link and product code are optional. Prices are only available in some countries.
Tips for replying faster on WhatsApp Business
5. Turn your top answers into quick replies. Tools, Quick replies, then the plus button. Type "/" in any chat to see them. You can store up to 50, with photos or videos on your phone. The catch: deleted quick replies cannot be recovered, so keep a copy in your notes.
6. Use the free default replies. WhatsApp automatically creates quick replies from your profile, such as your hours and address. Complete the profile and type "/" to find them.
7. Set a greeting message. Tools, Greeting message. It goes to first-time customers and to anyone who returns after 14 days of silence in that chat. The catch: WhatsApp says greetings are switched off automatically if Meta Business Agent is connected.
8. Schedule your away message to business hours. Tools, Away message, Schedule, Outside of business hours. That option only appears after you add hours to your profile, which is tip 1 again. Step-by-step setup is in how to set auto reply on WhatsApp.
9. Format messages so prices are readable. *bold*, _italic_, ~strikethrough~, a hyphen or asterisk and space for bullet lists, "1. " for numbered lists, and "> " for a quote. You can also tap and hold the text you typed to pick Bold or Italic.
10. Pin the message everyone asks about. In a chat, tap and hold a message, then Pin, and choose 24 hours, 7 days or 30 days. You can pin up to four messages per chat, such as your deposit terms in a group for a booked event.
Tips for organizing customer chats
11. Use lists as filters. In the Chats tab, swipe down to see your lists and tap the plus to create one, such as "Quotes sent" or "Paid". WhatsApp is replacing labels with lists gradually. Our quick replies and labels guide shows setups that work.
12. If you still have labels, use colors with meaning. You can create up to 20. Labeled customers can be messaged together, though only individual customers, not groups, receive those messages.
13. Know the trade-off before turning on automatic events. Tools, Lists, then turn on auto-created lists. WhatsApp can then label orders and leads automatically. The catch is big: WhatsApp says it may affect broadcast lists, disappearing messages, greeting and away messages, and message editing; chats move to "a secure service from Meta"; and your linked devices are disconnected, with WhatsApp for Windows unable to re-link.
14. Pin your three most important chats. Tap and hold a chat, then Pin. Up to three chats stay at the top, such as your supplier, your team and today's VIP.
Tips for getting found on WhatsApp
15. Set a pre-filled message on your short link. Tools, Short link. Your QR code is there too and does not expire unless you reset it. A pre-filled "Hi, I would like to book" means customers do not stare at an empty chat.
16. Make a different click-to-chat link per campaign. wa.me/ followed by your number in international format, then ?text= and your message. Use a different pre-filled message on your flyer, Instagram and Google profile and you will know where each chat came from. Our guide to WhatsApp links and QR codes has examples.
17. Start a channel for news, not for selling in the chat. Channels reach unlimited followers who cannot reply, and your number stays hidden. Put a click-to-chat link in the updates that sell. See WhatsApp Channels for business.
18. Post to Status for daily specials. Status updates disappear after 24 hours and do not land in anyone's chat list, which makes them a low-risk way to show today's stock or slots.
Tips for selling on WhatsApp Business
19. Use business broadcasts for offers with a button, if available. Tools, Business broadcasts (or Marketing messages). You can add a Catalog, Website, Phone call or custom reply button and schedule the send. It is paid per delivered message, available in limited countries, reviewed by Meta, and you need customers' opt-in.
20. Do not lean on broadcast lists. They only reach contacts who saved your number, and WhatsApp warns that frequent broadcasts lead to reports and that accounts reported many times are banned. Use them for small, loyal lists only.
Tips for using WhatsApp Business on a computer
21. Link up to four devices. Linked devices, Link a device, then scan the QR code on WhatsApp Web or the desktop app. Remember the phone must be used at least every 14 days or the links log out. Full steps: WhatsApp Business on PC.
22. Lock WhatsApp Web on shared computers. Settings, Privacy, App lock, with a 6 to 128 character password. Press Ctrl+Alt+L on Windows (Cmd+Ctrl+L on Mac) to lock it when you step away.
WhatsApp Business security and backup tips
23. Turn on two-step verification with an email. Settings, Account, Two-step verification. WhatsApp is moving from a six-digit PIN to a password. The email lets you reset it and, in some cases, receive login codes.
24. Review linked devices every month. Linked devices (the three-dot menu on Android, the Settings tab on iPhone); tap any device you do not recognize and log out. Keep push notifications on so WhatsApp can alert you when a new device is linked. Lock personal chats too: tap and hold a chat, then Lock chat. Our anti-hijacking checklist goes further.
25. Back up daily, with videos. Settings, Chats, Chat backup, then set automatic backups to daily and turn on Include videos if you need them. The WhatsApp Business app cannot use Chat Transfer, so a backup is how your chats reach a new phone; see transferring WhatsApp Business to a new phone.

What to do when tips are not enough
Every tip above still needs you to read and type the answer. When the same questions arrive dozens of times a day, or leads message at night and book elsewhere by morning, the next step is an AI agent. Our Business app vs AI agent comparison shows where the line is.
We make ReplyKit, so weigh our view accordingly. ReplyKit answers WhatsApp and website chats from your own content, offers real appointment slots and books them, captures and scores leads, and lets you take over any chat in one click. It connects through Quick Connect, a QR pairing that is unofficial, not the WhatsApp Business API, and a number can be restricted, so read will WhatsApp ban my number for automation? first. Note it should not run alongside the app's own away message on the same number. Try it with a 7-day free trial, no credit card, or compare plans from $29 a month.
