How to use WhatsApp Business on a PC or laptop: Windows, Mac, WhatsApp Web and login steps

Typing customer replies on a phone keyboard all day is slow. This guide shows you how to put your WhatsApp Business account on a Windows PC, Mac or laptop, which option to pick, and the rules that quietly log you out. Steps were checked against WhatsApp's help centre in October 2026.

Quick answer

There is no separate WhatsApp Business program for computers. You keep the WhatsApp Business app on your phone and link a computer to it: the WhatsApp app for Windows or Mac, or WhatsApp Web in a browser. On the phone, open Linked devices, tap Link a device and scan the QR code. Up to four devices can be linked.

Can you use WhatsApp Business on a PC, and which option should you pick?

Yes. WhatsApp's help centre lists the WhatsApp Business app for Android and iPhone only, and your phone stays the main device. On a computer you use one of WhatsApp's linked-device apps, signed in to your Business account. You do not need a different number or a second account.

For most small businesses, WhatsApp Web or the Windows app is the right starting point. Both are free and take two minutes.

All steps below follow WhatsApp's help centre as of October 2026. Menu names can differ by version; if you do not see Linked devices, update the WhatsApp Business app on your phone.

This is the standard way and works for the Windows app, the Mac app and WhatsApp Web.

  1. Open WhatsApp on the computer. Install WhatsApp for Windows or Mac from WhatsApp's download page, or go to web.whatsapp.com in your browser. A QR code appears.
  2. Open the WhatsApp Business app on your phone. On Android, tap the three-dot menu, then Linked devices. On iPhone, go to the Settings tab, then Linked devices.
  3. Tap Link a device.
  4. Verify it is you. Use your fingerprint or face, or your phone's PIN if biometrics are off. WhatsApp Web may also ask for a passkey.
  5. Scan the QR code on the computer screen with your phone.
  6. Confirm if asked. If WhatsApp detects an unrecognized device it asks you to confirm. Tap Link device only if it is your computer.

Your chats start loading on the computer. WhatsApp notes a known issue where some linked devices do not show up to one year of older history; the full history is still on your phone.

How to log in with your phone number instead of a QR code

If your phone camera is broken or the QR code will not scan, you can link with an eight-character code. WhatsApp says this works only on WhatsApp for Windows and WhatsApp Web.

  1. On the computer, click Link with phone number (or Log in with phone number).
  2. Choose your country, enter the Business account's number and click Next. An eight-character code appears.
  3. On your phone, tap the "Enter code to link new device" notification, check the device name and location, and tap Confirm.
  4. Verify with your fingerprint, face or phone PIN, then type the eight-character code.

You can also start from the phone: Linked devices, Link a device, then Link with phone number instead.

Why does WhatsApp Business keep logging out on my PC?

Usually because of one of four rules from WhatsApp's linked devices pages. Knowing them saves a lot of rescanning.

RuleWhat it means for you
Up to four linked devicesA Windows PC, a laptop, a tablet and one more. A fifth means unlinking one first.
Use the phone every 14 daysLinked devices work with the phone off, but log out if the main phone is unused for over 14 days.
30 days of inactivityA computer you have not opened WhatsApp on for 30 days is disconnected automatically.
The phone stays primaryWindows, Mac and Web cannot become the main device or register the number.

Browser settings cause the rest: clearing cookies, using a private window, or a work browser that blocks passkeys (WhatsApp's passkey page mentions corporate browsers blocking WebAuthn). If you use the Windows app instead of a browser, clearing the browser does not affect it.

What can you not do on WhatsApp Business on a computer?

Most things work, including messaging, text quick replies, and voice and video calls with up to 32 people on the Windows and Mac apps. A few do not, according to WhatsApp's help centre:

One newer catch: if you turn on Meta features that move your chats to "a secure service from Meta", such as automatic events in the Business app or connecting the number to the API alongside the app, WhatsApp disconnects your linked devices. You can re-link most of them, but WhatsApp's help centre and developer docs say WhatsApp for Windows (and Wear OS) cannot be re-linked in that setup. Use WhatsApp Web or the Mac app instead.

Can you use WhatsApp Business in Meta Business Suite on a PC?

In some countries, yes. Meta Business Suite on desktop can sync your WhatsApp Business account into its Inbox, next to Facebook and Instagram messages, so several team members can reply.

  1. Go to Meta Business Suite and pick your Facebook Page or Instagram profile from the top-left menu.
  2. Click Inbox, then the WhatsApp tab, then Get started.
  3. Follow the steps to select or add your WhatsApp Business account. Keep the phone charging with the app open during setup.

Meta lists the trade-offs: up to six months of individual chat history can be shared, group chats and status are not available in Inbox, you must open the WhatsApp Business app at least once every 20 days to stay synced, and chats are then managed through a secure service from Meta. Meta says the feature is not available in Australia, Japan, Nigeria, the Philippines, Russia, South Africa, South Korea, Turkey, the European Economic Area, the EU or the UK.

Can several staff use WhatsApp Business on different PCs?

Yes, up to the four-device limit, and all of them see the same chats. What you do not get is a record of which person sent which reply, or a way to assign a chat to one person. Our guide to WhatsApp Business on multiple devices and team access covers where that breaks and what a shared WhatsApp inbox adds.

Two habits help on shared office computers. Turn on app lock in WhatsApp Web (Settings, Privacy, App lock; a 6 to 128 character password; lock manually with Ctrl+Alt+L on Windows). And check Linked devices on the phone monthly, logging out anything you do not recognize. Our guide to protecting your business WhatsApp has the full checklist.

What to do when WhatsApp Business will not connect on your laptop

Start with the connection, then the session. WhatsApp's own fix list for WhatsApp Web, in order:

  1. Look for a yellow "Computer not connected" bar. If you see it, the computer's internet is the problem.
  2. Refresh the page, or restart the Windows or Mac app.
  3. Clear the browser cache and cookies, then scan the QR code again.
  4. Log out of the linked device and link it again.
  5. Restart the computer: off, wait 30 seconds, on.
  6. On office or campus Wi-Fi, try a hotspot, or ask IT to allow web.whatsapp.com and .whatsapp.net.

If the phone app itself is misbehaving, our WhatsApp Business not working guide goes through the phone side.

Answering from a computer with an AI agent

We make ReplyKit, so weigh our view accordingly. If you want a computer setup because the messages are too many for one phone, ReplyKit gives you a browser-based shared inbox where you see every WhatsApp and website chat, and an AI agent answers the routine ones from your own content. You can take over any chat in one click; the AI pauses for that chat until you hand it back.

It connects through Quick Connect: you scan a QR code just like WhatsApp Web, and it becomes one of your four linked devices. That pairing is unofficial, not the WhatsApp Business API, and a number can be restricted, so read will WhatsApp ban my number for automation? first and use a dedicated number. Before pairing you see one plain notice, and pressing Connect accepts section 3 of our Terms. If you only need to type faster, WhatsApp Web is free and enough. If you want answers while you are away from the desk, try the 7-day free trial, no credit card, or see plans from $29 a month.

How we know this. We run a product that connects to WhatsApp as a linked device, so linking rules are something we deal with daily. For this article we followed WhatsApp's help centre pages on linked devices, linking with a QR code and with a phone number, WhatsApp Web, WhatsApp for Windows, supported browsers, passkey linking, app lock, quick replies and automatic events, WhatsApp's download page, Meta's developer documentation on onboarding Business app users, and Meta's Business Suite help article on Inbox, all in October 2026. Menu names can differ by version. We sell ReplyKit, so weigh our view accordingly; if you only want a bigger screen, WhatsApp Web or the Windows app is free and the better choice. About ReplyKit.
