A WhatsApp AI agent for barbershops: is there a queue, can I book with Amir, and how much for a fade and beard

A barber with clippers in hand cannot answer WhatsApp, so the messages pile up and the customer asking "queue long or not?" walks to the shop down the road. An agent answers the queue question with your rule, books by barber, and quotes the fade price while you finish the line-up.

Quick answer

A barbershop's agent answers prices and services from a short menu, explains whether you take walk-ins, bookings or both and when, books by barber with durations, answers wait-time questions with a rule you give it (or a live estimate a person updates), handles kids' and senior pricing, and sends reminders. Complaints and "can you fix another shop's cut" questions go to a person.

The queue question

"Queue long?" is the most common barbershop message and the hardest to automate honestly. Two approaches work. A rule: "Walk-ins are usually quick before noon on weekdays; Saturdays after 2pm expect 30 to 60 minutes, so booking is better." Or a live note: a person updates a single line in the knowledge base ("Current wait: about 20 minutes") when it changes, and the agent quotes it with the time it was updated. Never let the agent guess a wait time.

Booking by barber

Regulars want their barber. Set each barber with services and durations (fade 30 minutes, fade and beard 45, kids 20), and the agent offers slots by name. When a barber is off, the agent says so and offers another or the next day. Booking setup is in appointment booking on WhatsApp.

Setting it up

  1. Knowledge. Type the menu as one line per service with price and duration, the barber list with hours, the walk-in rule, and any products.
  2. Instructions. Role, tone (short, friendly, no fuss), the queue rule, and the confirm-back for bookings.
  3. Booking. Set the services, durations and hours so the agent offers real slots and sends reminders the day before.
  4. Handover. Name the topics that go to a person, and the agent flags the chat in your inbox and stops replying until you hand it back.
  5. Test. Send it twenty real messages from your own phone before customers do; the checklist is in the pre-launch test.

Filling quiet hours

Tuesday mornings are empty and Saturday afternoons are chaos. Post a Status with a weekday morning offer (see Status for business updates), and let the agent book the replies. A nudge to a customer who asked but did not book, sent once, recovers some of the Saturday overflow onto Sunday.

Frequently asked questions

Can the agent tell customers the current wait time?

Only from a rule you write or a line a person updates. It should never guess.

Can customers book a specific barber?

Yes. Each barber has their own services, durations and hours.

Do walk-in shops need this?

If customers message before walking in, yes: the agent answers the queue question and the prices so they come in instead of going elsewhere.

How long does setup take?

A barbershop menu is short, so about 15 minutes, plus Meta's sign-in.

What about complaints about a cut?

Handed to the owner immediately. The agent never argues about a haircut.
