AI receptionist vs answering service: what each costs, what each covers, and where an AI chat agent fits

If calls and messages are slipping through while you work, you have three kinds of help to choose from: a human answering service, an AI voice receptionist, or an AI chat agent for WhatsApp and your website. This guide puts real October 2026 prices side by side, runs one month of the same workload through each, and tells you which to pick for your situation.

Quick answer

A human answering service costs about $250 to $1,700 a month for small business volumes and charges per minute or per call; an AI voice receptionist costs about $49 to $300 a month and answers every call instantly, but with less judgment. An AI chat agent answers WhatsApp and website messages, not calls. Many businesses combine one phone option with one chat option.

What is the difference between an AI receptionist and an answering service?

An answering service is a team of trained people who answer your phone line in your business name, take messages, and sometimes book or transfer calls. An AI receptionist is software that does the same job with a synthetic voice, instantly and around the clock. A third option, the AI chat agent, does not touch your phone at all: it answers written messages on WhatsApp and your website.

Human answering service

Real receptionists, usually in a shared call center, working from a script you approve. Priced by the minute or by the call. Best at judgment, empathy and unusual requests. Examples: Ruby, AnswerConnect, Smith.ai's human-first option.

AI voice receptionist

A phone agent that picks up every call, answers from your business information, takes details and often books or texts a link. Priced by the month with minute or caller allowances. Examples: Goodcall, Rosie, Frontdesk.

AI chat agent

Answers WhatsApp and website chat from your own content, qualifies leads and books appointments. Priced by the month with a reply allowance. It cannot answer a ringing phone. ReplyKit is one of these.

In-house receptionist

The baseline everyone compares against. In the US the median receptionist wage was $18.27 an hour in May 2025, according to the Bureau of Labor Statistics, before payroll taxes, leave and cover for breaks.

We cover the receptionist side of this in more depth in what an AI receptionist is and the staffing maths in AI agent vs hiring a receptionist. This page is about the buying decision between outsourced humans and AI.

How much does a human answering service cost?

Expect $250 to $810 a month for a small business plan, with the price set by minutes or calls included. We checked three well-known US services on their own pricing pages in October 2026.

ServiceEntry planBilled byExtra usageNotes from the pricing page
Ruby$250 a month for 50 minutesMinutesOverage rate not listedPlans of $395 (100 min), $720 (200 min) and $1,725 (500 min). Says no setup or activation fees. Live chat sold separately from $143 a month for 10 chats.
AnswerConnect$350 a month for 200 minutesMinutes$2.50 a minute on Entry, $1.85 on Growth and Standard$49.99 setup fee on Entry and Standard. Growth is $395 for 300 minutes. 24/7 live answering on all plans.
Smith.ai$300 a month for 30 callsCalls$11.50 a call on StarterBasic is $810 for 90 calls, Pro $2,100 for 300. Offers AI-first or human-first handling. Add-ons such as booking appointments cost $1.50 a call.

Two things to notice. First, per-minute pricing rewards short calls: Ruby's entry plan works out to $5.00 a minute and AnswerConnect's to $1.75, so a chatty caller costs real money. Second, the extras add up. Smith.ai lists per-call add-ons for booking, SMS notifications and call recording, which is fair for what you get but means the headline price is a floor, not a total.

How much does an AI receptionist cost?

Published AI voice receptionist plans start well under $100 a month. The three we checked bill by minutes or by unique callers rather than by call.

ToolEntry planAllowanceWhat else is included
Goodcall$79 a month100 unique customers, then 79 cents eachNo per-minute charges; Growth $129 for 500 customers, Scale $299 for 2,000
Rosie$49 a month250 minutesMessage taking, appointment links by text; Scale $149 for 1,000 minutes adds direct calendar booking and transfers
Frontdesk (My AI Front Desk)$99 a month, or $79 billed annually200 voice minutesWeb chat, two-way SMS and a CRM in the same plan

The gap with human services is large. Goodcall's own page argues that a live answering service runs about $1.50 to $1.90 a minute; that is the vendor's framing, but the published prices above bear out the general point. What you give up is judgment: an AI voice agent is good at known questions and booking, weaker when a caller is upset, vague or asking for an exception.

One month of the same workload, priced five ways

Here is a hypothetical physiotherapy clinic: 150 phone calls a month averaging 3 minutes (450 minutes), from about 110 different callers, plus 400 WhatsApp and website messages. Prices are the published plan prices above; your quote may differ.

For comparison, one full-time receptionist at the BLS median of $18.27 an hour costs about $3,170 a month in wages alone, and covers business hours only. The honest reading of this table: if most of your inbound comes by phone, an AI voice receptionist is the cheapest way to answer every call; if you need a person on the line, AnswerConnect-style per-minute plans are cheaper than per-call plans at three-minute calls; and if most of your inbound comes in writing, a chat agent covers it for a fraction of either.

What does each one handle well, and badly?

Price is half the decision. The other half is what happens on the awkward calls and messages, which are the ones that cost you customers.

Where ReplyKit fits, and where it does not

ReplyKit is a chat agent only. It does not answer phone calls, does not take voicemail, and does not send a text when you miss a call. If your problem is a ringing phone, choose one of the voice or human options above; ReplyKit will not solve it.

Where it does fit is the written half of the workload. It answers WhatsApp and your website chat from your own content (website pages, PDFs, price lists, Q&A pairs), offers real open slots and books them with double-booking protection, captures name, need, budget and timing, and scores each lead hot, warm or cold. When a question is not in its knowledge, it says so and flags the chat for you instead of guessing. You can take over any conversation in one click.

WhatsApp connects through Quick Connect, which pairs your number by scanning a QR code as a linked device. It is unofficial and not sanctioned by Meta, a number can be restricted, and we recommend a dedicated number. Before you connect you see one plain notice, and pressing Connect is your acceptance of section 3 of our terms.

Plans are $29, $49 and $99 a month with AI replies included and no Meta fees. If you want to see how it handles your own questions before paying, start the 7-day free trial; it needs no credit card and includes 300 AI replies. We make ReplyKit, so weigh our view accordingly.

Frequently asked questions

Is an AI receptionist cheaper than an answering service?

Usually, by a wide margin. The AI voice plans we checked start at $49 to $99 a month, while human services start at $250 to $350 a month for 50 to 200 minutes. The gap grows with volume because AI is priced by minutes or callers in large bundles.

Can an AI receptionist replace a human answering service?

For routine calls such as hours, prices and bookings, often yes. For anxious, angry or complex callers, a person still does better, which is why some services offer an AI-first option that hands difficult calls to a human.

How do answering services charge?

Most charge a monthly plan with included minutes or calls, then a per-minute or per-call rate beyond it. Ruby and AnswerConnect bill by the minute, Smith.ai by the call, and add-ons such as booking can cost extra per call.

Does an AI receptionist answer WhatsApp messages?

Most AI voice receptionists answer phone calls and sometimes SMS or website chat, not WhatsApp. For WhatsApp you need a chat agent connected to your WhatsApp number, which some businesses run alongside a voice tool.

Does ReplyKit answer phone calls?

No. ReplyKit answers WhatsApp and website chat only. It has no phone answering, voicemail or missed-call text back, so pair it with a voice receptionist or answering service if calls matter to you.

What is the cheapest way to never miss an enquiry?

Match the tool to the channel. If most enquiries arrive by phone, an AI voice receptionist under $150 a month covers them; if most arrive by WhatsApp or website chat, an AI chat agent from $29 a month covers them.

How we know this. We opened the pricing pages of Ruby, AnswerConnect, Smith.ai, Goodcall, Rosie and Frontdesk on 17 October 2026 and used only the figures printed there; where a page did not publish a rate, such as Ruby's overage, we say so rather than estimate it. The wage figure is from the US Bureau of Labor Statistics. The workload in the worked example is hypothetical. ReplyKit figures are from our own product as it runs today. We make ReplyKit, a chat-only agent, so we have an interest in the messaging side of this decision; for businesses whose enquiries mostly arrive by phone, a voice receptionist or answering service is the better buy and we say so above.
