WhatsApp vs WhatsApp Business: every difference that matters, how to switch without losing your chats, and which one you need
This is for anyone who sells something and is still answering customers from their personal WhatsApp, or who has both apps and is not sure what the Business one adds. You get a feature table checked against WhatsApp's own help center, the exact steps to move a number, and a straight answer on which app fits you.
Quick answer
WhatsApp (officially WhatsApp Messenger) is the personal app. WhatsApp Business is a separate free app for small businesses that adds a business profile, a catalog, quick replies, labels, automatic greeting and away messages, and ads that open a chat. A number can only be active on one app at a time, but you can move it with your chat history. If customers message you, use WhatsApp Business.
What is the difference between WhatsApp and WhatsApp Business?
They are two different apps from the same company. WhatsApp Business does everything regular WhatsApp does, and adds tools that help a business look trustworthy and reply faster.
WhatsApp describes the Business app as free to download, built "with the small business owner in mind", and meant to feel and work just like WhatsApp Messenger. Its own help center is blunt about who does not need it: if you are not a business, you can keep using WhatsApp Messenger for free. The one rule that trips people up is that the same phone number cannot be used on both apps at the same time, although you can move between them.
There is a third thing people mix up with these two: the WhatsApp Business Platform, often called the API. That is not an app you download. It is what larger companies and software tools connect to, and it is billed per message. If that is the comparison you meant, read our Business app vs Business Platform explainer.

Which is better, WhatsApp or WhatsApp Business?
For anyone who gets messages from customers, WhatsApp Business is better. It costs nothing, it keeps everything regular WhatsApp does, and it fixes the three things that lose a small business the most enquiries: no clear hours or address, no reply when you are busy, and typing the same answer forty times a week.
Regular WhatsApp is better only when you have no customers on that number. A freelancer who gets one client message a month can live without the profile and away message. Everyone else should switch.
Can I switch from WhatsApp to WhatsApp Business?
Yes, and it keeps your number and your chats. These are the steps WhatsApp's help center gives, in order:
- Back up your chats in WhatsApp first.
- Save your contacts to the phone. WhatsApp says its own "WhatsApp contacts" feature is not yet supported in the Business app, so contacts saved only inside WhatsApp are lost when you move. In WhatsApp settings, choose to save contacts to the phone's address book.
- Install WhatsApp Business from Google Play or the App Store, and update WhatsApp.
- Agree to the terms when you open the Business app.
- Choose your number. The app detects the number you use in WhatsApp. Tap it, or pick Use a different number.
- Allow access to your history. Tap Continue, then Allow, so your chats and media come across.
- Verify and set up. Enter the six-digit code WhatsApp sends by SMS, then fill in your business profile.
Do the profile properly on day one: hours, address, a one-line description of what you sell, and a website. The Business app turns those into default quick replies you can send with a "/" shortcut.
What happens to my chat history?
Your chats and media move with you when you allow access during setup, and your number stays the same, so customers keep messaging the same chat.
Going back is possible too. WhatsApp Messenger can restore a WhatsApp Business backup, with one catch: anything that only exists in the Business app, such as your catalog items and collections, does not transfer. On Android the help center says to back up to your Google Account before moving back.
Can I use WhatsApp and WhatsApp Business on one phone?
Yes. They are separate apps, so you can install both. What you cannot do is use one number in both. The common setup is your personal number on WhatsApp and a second number, often a second SIM or eSIM, on WhatsApp Business.
Our step-by-step guide to running business and personal WhatsApp on one phone covers dual SIM, eSIM and the mistakes to avoid, so we will not repeat it here.
Who should use which?
| You are | Use | Why |
|---|---|---|
| Chatting only with friends and family | Nothing in the Business app helps you | |
| A sole trader using your personal number for work | WhatsApp Business on a second number | Profile and away message for customers, privacy for you |
| A shop, clinic, salon or agency | WhatsApp Business | Catalog, labels, greeting, away and quick replies, plus linked devices for staff |
| A team that needs many agents, broadcasts at scale or system integrations | The WhatsApp Business Platform through a provider | The app tops out at a handful of devices and has no API |
| Busy enough that replies are slow | WhatsApp Business plus an AI agent | The app's automation sends fixed text; it does not answer questions |
Where does an AI agent come in?
The Business app saves you typing, but it does not answer anything. A greeting message says hello. An away message says you are away. A quick reply only goes out when you tap it. When a customer asks "do you have a slot on Saturday for two people?", someone still has to read it and reply.
An AI agent reads the question, looks up the answer in your own information, and replies in seconds. You have three ways to get one on WhatsApp:
- Meta Business Agent, inside the Business app. WhatsApp's help center says it is available in limited countries to select businesses, answers from your catalog, profile and website, switches off greeting and away messages, disconnects linked devices when you turn it on, and that messages in chats where it is on are used to improve AI at Meta. Our Meta Business Agent explainer covers when it is the better choice.
- An official API platform. Sanctioned by Meta, billed per message, and usually needs business verification and a provider.
- A QR-paired agent, which links to your existing WhatsApp or WhatsApp Business number as a linked device. Fast and cheap, but not sanctioned by Meta. WhatsApp's own help center warns that linking an account to unofficial apps "may result in a temporary or permanent account ban". We explain the real risk in will WhatsApp ban my number for automation?
Where ReplyKit fits
We make ReplyKit, so weigh this section accordingly. ReplyKit is an AI agent that answers WhatsApp and website chat for small businesses from your own content: it reads your website, price lists and PDFs, answers in the customer's language, books appointments into real open slots, and hands a chat to you in one click when a human is needed.
It connects through Quick Connect, which scans a QR code and pairs your number in about two minutes. That is the unofficial route: it is not the WhatsApp Business API, Meta does not sanction it, and a number can be restricted (read the risk before you connect). It works with a WhatsApp or WhatsApp Business number, though we recommend a dedicated business number, and it only replies to people who message you: no broadcasts, no bulk sends.
When ReplyKit is not the right choice: if you need broadcasts or a green tick, use the official API. If Meta Business Agent is available to you and your catalog and profile cover what customers ask, try it first; it is native and carries no pairing risk. If you get a few messages a day, the free Business app with good quick replies may be enough. Plans start at $29 a month; see what each includes.
Frequently asked questions
What is the difference between WhatsApp and WhatsApp Business?
They are two separate free apps. WhatsApp (also called WhatsApp Messenger) is for personal chats. WhatsApp Business adds tools for selling and answering customers: a business profile, a catalog, quick replies, labels, greeting and away messages, ads that lead to a chat, and paid business broadcasts where available.
Which is better, WhatsApp or WhatsApp Business?
If customers message you about anything you sell, WhatsApp Business is better, because it shows your hours and address and gives you automatic greetings, away messages and saved replies. If you only chat with friends and family, regular WhatsApp is all you need.
Can I switch from WhatsApp to WhatsApp Business without losing chats?
Yes. Back up first, install WhatsApp Business, choose your existing number, and allow the app to access your chat history and media. WhatsApp warns that saved WhatsApp contacts are not supported in the Business app, so save contacts to your phone's address book before you move.
Can I switch back from WhatsApp Business to regular WhatsApp?
Yes. WhatsApp Messenger can restore your WhatsApp Business backup. Anything unique to the Business app, such as your catalog and collections, does not come across.
Can I use WhatsApp and WhatsApp Business on the same phone?
Yes, as two separate apps, but each needs its own phone number. One number cannot be active on both apps at the same time.
Is WhatsApp Business free?
The app is free to download and use. Some extras cost money, such as business broadcasts, ads, and Meta Verified subscriptions, where they are available in your country.
Can WhatsApp Business reply to customers automatically?
Only in a limited way. Greeting and away messages send fixed text automatically, and quick replies still need you to pick and send them. For replies that answer real questions, you need Meta's own AI where it is available or a separate AI agent.
