WhatsApp Business auto reply not working? The real reasons away and greeting messages do not send, and how to fix each one
Your away message or greeting message is switched on, and customers say they never got it. In most cases nothing is broken: a setting is quietly excluding the person, or a rule you did not know about is doing its job. This checklist goes from the most common cause to the rarest, using WhatsApp's own help centre.
Quick answer
The most common reasons a WhatsApp Business auto reply does not send are: the schedule is set to business hours but no hours are in your profile, the recipient setting excludes saved contacts, the greeting only fires on a first message or after 14 days of silence, Meta Business Agent is connected (which disables greetings), or the phone is offline. Update the app and test from an unsaved number.
Why is my WhatsApp Business auto reply not working?
Usually because a setting is doing exactly what it was told. The away message follows a schedule and a recipient list; the greeting message only goes to new or long-quiet chats. WhatsApp's help centre also says the phone needs an active internet connection to send either one, and that greetings are turned off when Meta Business Agent is connected.
A quick check before anything else: auto replies only exist in the WhatsApp Business app. Regular personal WhatsApp has no away or greeting message, so if you are on the personal app, nothing is broken; the feature is not there. Our auto reply setup guide covers moving to the Business app.
WhatsApp auto reply checklist: symptom, cause, fix
Find your symptom, then work across the row. The first rows are the quickest to check, so start there.
| Symptom | Likely cause | Fix |
|---|---|---|
| Away message never sends | Send away message is off, or was turned off by an update or another tool | Tools, Away message, turn on Send away message, Save |
| Away message never sends outside hours | Schedule is "Outside of business hours" but no hours are set in your business profile | Add business hours to your profile, then reselect the schedule |
| Away message sends at the wrong times | Custom schedule or business hours are wrong, or the phone's time zone is off | Check the schedule, your profile hours and the phone's date and time settings |
| Works for new people, not for regular customers | Recipients set to "Everyone not in address book" (or "Exclude my contacts" on iPhone) | Change Recipients to Everyone, or accept that saved contacts are excluded |
| One specific customer never gets it | They are excluded by "Everyone except" or not in "Only send to" | Review the Recipients list |
| Greeting only sometimes sends | The 14-day rule: greetings go only to first-time chats or after 14 days of no messages | Nothing to fix; use the away message for every-time replies |
| Greeting stopped completely | Meta Business Agent is connected, which disables greeting messages | Delete Meta Business Agent if you want greetings back, or rely on the agent |
| Nothing sends while the phone is off | The device needs an active internet connection to send auto replies | Keep the phone on, charged and connected |
| Works for a while, then stops | Battery saver or data saver is stopping WhatsApp in the background | Allow WhatsApp Business unrestricted battery use and background data |
| Still nothing after all checks | A temporary app fault or an old version | Turn the feature off and on, update WhatsApp Business, restart the phone |
| You tested and saw nothing | You tested from your own number or a saved contact | Test from a second number that is not in your contacts |
| Quick reply will not save | Shortcut breaks a rule (spaces, over 25 characters, no "/") or you already have 50 | Fix the shortcut or delete an old quick reply |
WhatsApp away message not working: what to check
Check the switch, the schedule, the recipients and the connection, in that order. WhatsApp's help centre describes all four settings.
- The switch. Tools tab, Away message. Send away message must be on, and you must tap Save after changes.
- The schedule. Always send, Custom schedule, or Outside of business hours. WhatsApp notes that the last option is only available if you have set business hours in your business profile. If you changed your hours recently, open the schedule again and save.
- The recipients. Everyone, Everyone not in address book, Everyone except, or Only send to. "Everyone not in address book" is a common trap: every saved customer is silently skipped.
- The connection. WhatsApp says your device must have an active internet connection to send away messages. A phone in a drawer with Wi-Fi off sends nothing.
One thing WhatsApp does not document is how often the away message repeats to the same person within one conversation. Do not assume it fires on every single message; test it as described below rather than guessing.
WhatsApp greeting message not working: the 14-day rule and Meta's AI
Most "broken" greetings are the 14-day rule working as designed. WhatsApp's help centre says greeting messages go to customers who message you for the first time, or after 14 days of inactivity in their chat. Anyone who messaged you in the last 14 days will not get one.
WhatsApp's own troubleshooting list for greetings, in order:
- Check whether Meta Business Agent is enabled. Greeting messages are automatically disabled when it is connected. WhatsApp says that to use greeting messages again you need to delete Meta Business Agent (Tools, Meta Business Agent, Response settings, Disconnect AI, Disconnect and delete my AI). Pausing it, via Disconnect AI and Pause AI replies, stops it answering new chats, but the help centre names deleting as the way to restore greetings.
- Review recipient settings. "Only send to" and "Everyone except" can exclude the people you expect to reach.
- Remember the 14-day rule. A returning customer within 14 days gets no greeting.
- Toggle it off and on. Tools, Greeting message, turn off Send greeting message, wait a moment, turn it back on.
- Update WhatsApp Business to the latest version.
- Restart your device.
If you want something to go out every time a customer writes after hours, that is the away message's job, not the greeting's. Our greeting message guide covers what each should say.
Auto reply not showing on some devices or with linked devices
Auto replies are a setting of your WhatsApp Business account, managed in the phone app. Using WhatsApp Web, the desktop app or other linked devices does not add a separate auto reply, and WhatsApp's help pages for away and greeting messages give steps for Android and iPhone only.
- Keep the main phone healthy. WhatsApp's help centre says linked devices keep working with the phone offline, but log out if the phone is unused for more than 14 days. Auto replies themselves need an active connection on the device.
- Check Linked devices. On the phone, open Linked devices and log out anything you do not recognise. WhatsApp warns that linking an unofficial app or website may lead to a temporary or permanent ban.
- One automation per number. If an outside tool or Meta Business Agent also answers on the number, the built-in messages may be switched off, or customers may get two replies. Decide which one answers.
- Phone power settings. On Android, set WhatsApp Business to unrestricted battery use and allow background data. On iPhone, check Low Power Mode and Background App Refresh. These are general phone settings, not WhatsApp ones, but they decide whether the app is running.
Team setups with several phones and people are covered in multiple devices and team access.
How to test a WhatsApp auto reply properly
Test from a number that is not saved in your contacts, with the phone online, during the hours the schedule covers. Most failed tests break one of those three conditions.
- Borrow a second phone, or use a second number, that is not in your address book.
- For the away message, set the schedule to Always send for the test, then switch it back.
- For the greeting, use a number that has never messaged the business, or has been silent for more than 14 days.
- Make sure the business phone is on, connected and not in a battery-saving mode.
- Send one message and wait a minute. If nothing arrives, go back to the checklist above.
When the auto reply works but is not enough
Sometimes the auto reply is working perfectly and the problem is what it says. "We will get back to you" does not answer "Are you open on Sunday?" and customers who need an answer now message someone else.
We make ReplyKit, so weigh our view accordingly. ReplyKit is an AI agent that answers WhatsApp and website messages from your own content: your website, PDFs, price lists and Q&A. It books real open slots, scores leads, and notifies you when a chat needs a human, with one-click takeover. It connects through Quick Connect, a QR scan that pairs your number as a linked device. That is unofficial, not the WhatsApp Business API, and a number can be restricted, so read will WhatsApp ban my number for automation? first and use a dedicated number. If you connect an agent, turn off the Business app's away message on that number so customers do not get two replies.
You can test it with a 7-day free trial, no credit card, 300 AI replies; after that, plans are $29 to $99 a month. If your messages are few and simple, a well-set away message is the better tool, and this guide should get it working.
Frequently asked questions
Why is my WhatsApp Business away message not working?
Check that Send away message is on and saved, that the schedule is right, and that business hours are set in your profile if you chose Outside of business hours. Then check that the recipient setting does not exclude saved contacts and that the phone has an internet connection.
