Birthday and anniversary messages for customers on WhatsApp: 12 templates, when they are welcome, and the consent rule
A birthday message works when the customer remembers you fondly and gave you the date for that purpose. It backfires when it arrives from a business they used once, with a discount code and three emoji. The templates below are written for the first case, and the rule at the top keeps you out of the second.
Quick answer
Send birthday or anniversary messages only to customers who gave you the date knowing you would use it (a sign-up form, a loyalty card, a direct question), keep them short and personal, make any offer genuine and easy, and send them by hand or from quick replies on the day. ReplyKit's agent does not send campaigns, so these are messages you send; the agent then answers the replies and books the appointment the message prompts. Stop on request, and never message someone who has not interacted with you in a year.
The rule
WhatsApp's Business Messaging Policy requires opt-in before a business starts a conversation. A birthday message starts one. The consent is the date itself, collected with a line like "Birthday (for a treat from us): ___" on your form, or the customer telling you when asked. Collecting it from a document you saw, or guessing from a social profile, is not consent. Keep the message a reply to that consent, which means no third-party offers and no "forward to friends". The full policy is in the consent rules.

Sending them without a broadcast tool
- Keep the date in the CRM note for each customer, and the consent source ("form", "asked in chat").
- Each morning, check the follow-up list for today's dates and send by hand from a quick reply. Ten a day takes five minutes.
- Make the offer easy: no code to type, no fine print; the agent recognises the customer and applies it when they book.
- When they reply, the agent takes it from there: answers, books, confirms.
- Skip anyone who has not interacted in a year, and anyone who ever said stop.
Why not a broadcast: ReplyKit does not offer campaigns, because bulk sends from a paired number are the fastest way to get it restricted, as our ban guide explains. Ten personal messages a day is both safer and better received. More ideas for the relationship are in customer retention on WhatsApp.
Frequently asked questions
Is it allowed to send birthday messages on WhatsApp?
Yes, to customers who gave you the date for that purpose. That is the opt-in WhatsApp's policy requires.
Should I include an offer?
A small, genuine, easy one helps; a discount code with conditions reads as marketing. Plain good wishes work too.
Can the AI agent send them?
No. ReplyKit's agent replies to customers and sends reminders; it does not run campaigns. Send these by hand from quick replies, and the agent handles the replies and bookings.
How do I collect birthdays?
A line on your sign-up or booking form that says what it is for, or by asking in chat. Record the source in the CRM.
Who should I not message?
Anyone who did not give you the date, anyone who said stop, and anyone who has not interacted with you in a year.
The message is yours; the booking is the agent's
Send ten personal messages a day; the agent answers the replies and books. 7-day free trial, no card.
