WhatsApp AI agent for restaurants and cafes: reservations, menu questions and orders answered in seconds

Nobody in a busy kitchen can answer WhatsApp at 7:40pm on a Friday. That is exactly when the messages arrive: "table for six at eight?", "is the rendang halal?", "do you have parking?". An AI agent answers all three in seconds, takes the reservation, and leaves the team to cook. Here is what to automate, what to keep human, and how to set it up in an afternoon.

Quick answer

Put a WhatsApp AI agent on your restaurant's public number to answer opening hours, menu, dietary, halal and allergy questions from your own menu, take reservations into real time slots, and send a reminder the day before. Keep large-group deals, complaints and anything off-menu with a person. With ReplyKit that is a 20-minute setup at $29 a month with no per-message fees.

Why restaurants lose bookings on WhatsApp

Restaurant WhatsApp traffic is spiky. It peaks at lunch and dinner, on Friday and Saturday, and before public holidays, which are the exact moments staff are busiest. A message that waits 40 minutes on a Friday night is usually a booking that went to the restaurant next door. Research on lead response shows the first few minutes matter most: the Harvard Business Review study found businesses that replied within an hour were about seven times more likely to qualify the enquiry than those that waited longer. A diner deciding where to eat tonight is far less patient than that.

The questions are not hard. Most restaurants get the same fifteen: hours, location, parking, halal status, pork-free, vegetarian options, allergies, kids' menu, private room, minimum spend, deposit, walk-ins, BYO, delivery, and "can I book". A new front-of-house hire answers them from a printed sheet. An AI agent answers them from the same sheet, instantly, while the team plates food.

What the agent handles, and what stays with the team

Automate

  • Opening hours, including public holidays and Ramadan hours if you change them.
  • Location, parking, nearest LRT or MRT, and a maps link.
  • Menu questions: what is in a dish, spice level, portion size, prices.
  • Dietary and religious questions from your written policy: halal certification, pork-free, vegetarian, vegan, nut-free.
  • Reservations for standard tables, with a reminder the day before.
  • "Do you have space now?" answered from today's availability.
  • Menu photos sent by customers: the agent can describe an image and answer "do you still serve this?"
  • Voice notes, which many customers send while driving: transcribed and answered.

Keep with a person

  • Large groups, private events, catering quotes and custom menus.
  • Complaints, refunds and anything about a meal already served.
  • Allergy questions you have not written a clear policy for. The agent should never guess about allergens.
  • Media, suppliers and job applicants.
  • Anyone who asks for a person.

The allergy point deserves emphasis. Write your allergen information down, dish by dish, and give the agent only that. Then instruct it: "If a dish's allergens are not listed, say you are not sure and ask the team to confirm." ReplyKit answers only from the knowledge you provide and hands over when it does not know, so a gap in your menu notes becomes a handover, not an invented answer.

Reservations without a phone in the kitchen

Set up your seating as services: a table for two, a table for four, the private room. Give each a duration, say 90 minutes for dinner, and your opening hours by day. From then on the agent answers "table for four at 8 on Saturday?" with real availability, books it, confirms in the chat, and sends a reminder 24 hours before. Reservations export to Apple, Google or Outlook calendars, and each booking lands in the built-in leads list so the floor manager sees who is coming, how many, and any note like "birthday" or "high chair".

Two settings worth using: a deposit rule for groups above a size you choose, written into the instructions so the agent explains it before booking, and a "no walk-in guarantee" line so the agent never promises a table it has not booked.

Setup for a restaurant, step by step

  1. Choose the number. ReplyKit connects by connecting your number through Meta's sign-in, the same mechanism as WhatsApp Web. A number on the official platform leaves the WhatsApp app, so use a dedicated number rather than the owner's personal line. We explain the risk plainly in Meta's messaging limits explained
  2. Paste your website if the menu is on it. ReplyKit reads up to 100 pages and reads menu, prices and contact pages first. Upload the PDF menu too.
  3. Write what is not on the menu as plain text: halal status, allergens by dish, parking, deposit policy, kids' menu, private room capacity.
  4. Add your seating as services with durations and opening hours.
  5. Write the boundaries in the agent's instructions: no allergen guesses, groups above eight go to a person, complaints go to a person.
  6. Connect the number through Meta's sign-in from WhatsApp's Linked Devices screen.
  7. Test from your own phone with the hard questions, including a fake complaint, and confirm it hands over. Check the unanswered-questions list after the first weekend and teach it the gaps.

A worked weekend at a 60-seat restaurant

Roughly 120 WhatsApp messages between Friday lunch and Sunday night, most during service. Before: the manager answers in batches between tables, about a third of reservation requests get a reply after the customer has booked elsewhere, and "are you halal?" is answered forty times by hand. After: every message is answered within seconds, tables are booked into real slots, reminders go out on their own, and the manager handles the two catering enquiries and one complaint the agent handed over. On the $29 Starter plan that weekend uses about 110 of the 1,000 monthly replies.

Groups with more than one outlet run one agent and number per outlet on the Growth plan, so each has its own hours and menu with one shared inbox for the group.

Frequently asked questions

Can a WhatsApp AI agent take restaurant reservations?

Yes. Set your tables as services with durations and hours, and the agent offers real open slots, books them with double-booking protection, sends a reminder the day before and exports to your calendar.

Can it answer halal and allergy questions safely?

Only from what you write down. Give it your halal certification status and allergens by dish, and instruct it to hand over rather than guess when a dish is not listed. ReplyKit answers only from your content and escalates when unsure.

What happens during a rush when the agent hands over?

The chat moves to your inbox with an email alert. The customer is told a person will reply. Anything the team types pauses the agent on that chat, and it resumes when you hand back.

Does it work with delivery apps?

It does not place orders on third-party apps. It answers questions and points customers to your delivery link or takes a pickup request as a note for the team.

How much does it cost for a restaurant?

From $29 a month for one number and 1,000 AI replies, with reservations, reminders and a leads list included. There are no per-message fees and no Meta approval process. A 7-day free trial includes 300 replies.

How we know this. We built ReplyKit's booking flow around service businesses that take reservations by WhatsApp, and the examples here reflect the questions food and beverage customers actually send, including menu photos and voice notes.
