Conversational AI for customer service, explained without jargon: what it is, how it differs from chatbots, what it can and cannot do for a small business, what it costs, and how to tell a real one from a renamed menu bot

"Conversational AI" is on every vendor's homepage, attached to everything from a real language-model agent to a menu bot with a new coat of paint. For a small business owner the term matters only in so far as it answers one question: will this thing actually answer my customers properly? Here is what the term means and how to check.

Quick answer

Conversational AI for customer service is software that understands a customer's message in natural language, finds the relevant information in your business's knowledge, and writes a reply in its own words, rather than matching keywords to a scripted menu. It handles questions, bookings, lead qualification and multilingual replies around the clock; it does not exercise judgement, make exceptions or promise things not in its knowledge, and it hands those to a person. For a small business it costs tens of dollars a month. To tell real conversational AI from a renamed chatbot, ask whether it can answer a question you did not script.

The fuller comparison is in AI agent vs chatbot.

What happens to a message

  1. The customer writes, in any language, with typos.
  2. The agent reads it and works out what is being asked.
  3. It retrieves the relevant lines from your knowledge base (prices, hours, policies, FAQ); see how retrieval works.
  4. It writes a reply in your tone, in the customer's language, using only what it retrieved and your instructions.
  5. If the message needs a person (a complaint, a decision, something not in the knowledge), it hands over and tells the customer. The rules are in how the agent decides to hand over.

What it does well, and what it does not

What it costs

For a small business, a monthly subscription in the tens of dollars covering a set number of replies: ReplyKit starts at $29 for 1,000 replies a month on one WhatsApp number, with a website assistant included. Setup is an afternoon of writing your facts in plain text. The arithmetic of whether that pays is in the ROI of a WhatsApp AI agent.

Five questions to tell the real thing

  1. Can I ask it a question I did not script, and get an answer from my knowledge?
  2. Can I give it my knowledge as plain text or a website, rather than building flows?
  3. Does it reply in the customer's language without separate setup?
  4. Does it say when it does not know, and hand over?
  5. Can I test it in a sandbox before any customer sees it? A vendor that cannot show you these five in a demo is selling a flow builder.
