Selling gift cards and vouchers on WhatsApp: the order flow, payment and delivery, redemption rules, the festive peak, and what an AI agent handles

A gift card is the best sale a service business makes: paid now, redeemed later, often by a new customer, sometimes never. On WhatsApp it is a four-message conversation if the flow is ready, and a lost sale if the reply comes tomorrow. December multiplies both.

Quick answer

Offer a few denominations or experience vouchers, take the order in the chat (amount, recipient's name, a message, delivery by WhatsApp or email and when), take payment by your usual method, deliver a digital voucher with a unique code, state redemption and expiry rules on the voucher, and keep a simple ledger of codes, values and balances. An AI agent explains the options, takes the order, quotes payment instructions and, once a person confirms payment, the voucher goes out; redemption questions are answered from the ledger note. ReplyKit runs the enquiry and order side.

What to offer

The order flow

Opening

Lovely idea. We have vouchers for {amounts} or for a specific treatment like {examples}. Which would you like?

Details

Great: a {amount} voucher. Who is it for, and would you like a short message on it? And shall we send it to you or straight to them, by WhatsApp or email, and when?

Payment

The total is {amount}. Pay by {method, details}; send a screenshot here and we'll send the voucher within {time} of confirming.

Delivery

Here's the voucher for {recipient} 🎁 Code {code}, valid until {date}, redeemable on {scope}. They can book any time by messaging this number.

Redemption

Thanks! Code {code} is valid with {balance} remaining. I've applied it to your booking on {date}; the balance to pay is {amount}.

Payment screenshot verification and the hold rule are the same as in bookings with deposits; the voucher is sent only after a person confirms the payment landed.

The ledger

A spreadsheet with code, value, buyer, recipient, issue date, expiry, redemptions and balance. Generate codes that cannot be guessed (a word plus five random characters). Put the current balances in a knowledge note if you want the agent to answer "how much is left on my voucher"; update it after each redemption. For a business doing dozens a month, a voucher tool with its own codes is worth it and the agent simply explains and sells; the ledger covers the rest. Taking payments and verifying them is in taking payments on WhatsApp.
