ChatGPT for customer service: what it can do for your team, what it cannot do for your customers, and the privacy settings to check first
Plenty of small business owners already use ChatGPT to help with customer messages: drafting a polite reply, translating a question, summarizing a long complaint. This guide sorts out where that works well, where it stops, and what to check before you paste a customer's details into it.
Quick answer
ChatGPT is useful for customer service behind the scenes: drafting replies, summarizing complaints, writing FAQs and translating. On its own it does not sit on your WhatsApp or website, does not know your prices unless you paste them, and cannot book appointments. For customer-facing answers you need a separate agent. Before pasting customer data, check your plan's model-training setting.
What can ChatGPT do for customer service?
It is a strong writing and thinking assistant for the person who answers customers. Used that way, it saves time on the hard messages without ever talking to a customer directly.
Draft difficult replies
Paste a complaint (with personal details removed) and ask for a calm, apologetic reply that offers a specific fix. You edit and send it yourself.
Summarize long threads
Turn a 40-message back-and-forth into three lines: what the customer wants, what was promised, what is still open.
Write and tidy your FAQ
Give it the questions you get most and your rough answers; ask it to rewrite them clearly. You check every fact.
Translate and adjust tone
Understand a message in a language you do not read, or turn a blunt reply into a friendly one.
Build reply templates
Draft standard replies for delays, refunds, price questions and no-shows, which you then save as quick replies.
Spot patterns
Paste a week of anonymized questions and ask what the top themes are and which ones your website does not answer.
We collected 30-plus copy-paste prompts for exactly these jobs in ChatGPT prompts for customer service.
What can't ChatGPT do on its own?
ChatGPT is a chat app you use, not a service that answers your customers. Everything it does happens in your window, after you paste something in.
- It is not connected to your channels. It does not read or answer your WhatsApp, website chat or email by itself. A person still copies the question in and the answer out.
- It does not know your business by default. Ask it your clinic's whitening price and it will either say it does not know or give a typical figure from the internet. Your real price has to be pasted in each time or stored somewhere it can use.
- It cannot take actions in your business. It will not check your calendar, book a slot, record a lead or notify a colleague unless someone builds that.
- It does not work while you sleep. The 11pm WhatsApp enquiry waits until you open the app in the morning.
- It can sound sure when it is wrong. Like any AI model, it can produce confident answers that are not true. In a drafting role you catch that; facing customers directly, you might not.
This is why the copy-and-paste routine stops scaling at some point. We worked through the time cost in answering WhatsApp with ChatGPT manually versus an AI agent.
Is it safe to paste customer messages into ChatGPT?
It depends on your plan and settings. On personal plans, conversations can be used to train OpenAI's models unless you turn that off; on business workspaces they are not used for training by default. Either way, remove personal details first.
Here is what OpenAI's data controls help page says, as we read it on 17 October 2026:
| Setup | Used to train OpenAI models? | What to do |
|---|---|---|
| Personal plans (Free, Go, Plus, Pro) with default settings | Yes, unless you turn off "Improve the model for everyone" | Settings, Data controls, turn it off |
| Personal plans with the setting off | No, for new conversations; chats stay in your history | Still remove names, numbers and addresses |
| Temporary chat | No; may be kept for up to 30 days for safety | Useful for one-off drafts |
| Business, Enterprise, Edu workspaces | Not by default | Your organization's retention and access settings apply |
| Any plan, after you click thumbs up or down | The whole conversation behind that feedback may be used for training | Avoid rating chats that contain customer details |
Training is only one question. Your own data protection law (PDPA in Malaysia and Singapore, GDPR in Europe, and others) may restrict sending customer information to any outside service. The safest habit costs nothing: replace names, phone numbers, addresses, order numbers and health details with placeholders like [NAME] before pasting. Our customer data safety guide covers the wider checklist.
ChatGPT versus a customer-facing AI agent
ChatGPT helps the person answering; a customer-facing agent does the answering. They are different tools for different jobs, and many businesses use both.
| ChatGPT (general assistant) | Customer-facing AI agent | |
|---|---|---|
| Who types into it | You or your staff | Your customers, directly |
| Where it lives | The ChatGPT app or website | Your WhatsApp number and website chat |
| What it knows | General knowledge plus whatever you paste in | Only your uploaded content: website, price lists, policies |
| When it does not know | May give a general or invented answer | A well-built one says so and hands over to you |
| Can book, qualify, follow up | No, not without custom building | Yes, depending on the product |
| Hours | When someone is using it | All the time |
| Who checks the answer | You, before sending | You, by reviewing conversations and fixing gaps |
The middle ground some owners try is a custom GPT. That changed recently; see custom GPTs for business for where they stand now.
Can I put ChatGPT itself on my WhatsApp number?
Not as a general chatbot on the official platform in most countries. Meta changed its terms on 15 January 2026 so that "AI Providers" may offer general-purpose AI assistants on the WhatsApp Business Platform only where Meta is legally required to allow it, according to Meta's developer page on AI providers.
That rule is aimed at companies offering general AI assistants, not at a dentist using AI to answer questions about the dentist's own services. What a business usually wants is an assistant that answers about its own prices and bookings, which is a customer service agent built on an AI model rather than ChatGPT itself. We explain the distinction in the 2026 general-purpose AI chatbot rule, and the technical routes in how to connect ChatGPT to WhatsApp.
Which setup fits your business?
Volume and hours decide it. A rough guide, based on what we see in small businesses:
| Your situation | Sensible setup |
|---|---|
| Fewer than about 10 messages a day, you are usually reachable | ChatGPT as a drafting helper, plus saved quick replies |
| Many repeat questions, evenings and weekends missed | A customer-facing agent for the repeats; ChatGPT for the tricky drafts |
| Enquiries that turn into bookings or quotes | An agent that can qualify and book, with you handling the close |
| Mostly complaints or complex cases | People, with ChatGPT helping to draft and summarize |
Where ReplyKit fits alongside ChatGPT
ReplyKit is the customer-facing kind of tool in the table above. It answers WhatsApp and your website chat directly, from your own website, PDFs, price lists and Q&A pairs, says so when the answer is not there, and hands the chat to you with one click. It books real open slots, qualifies leads into hot, warm and cold, and understands voice notes and photos in over 30 languages. It runs on an AI model that we do not name, because the model matters less than the content and rules around it.
On WhatsApp it connects through Quick Connect, an unofficial QR pairing that is not the WhatsApp Business API, is not sanctioned by Meta, and can lead to a number being restricted; we recommend a dedicated number and enforce reply limits. Plans run from $29 to $99 a month (see pricing), and you can try it free for 7 days with no credit card.
When ReplyKit is not the right fit: if you only get a handful of messages a day and enjoy replying yourself, ChatGPT as a drafting helper costs less and may be enough. If you need broadcasts, Instagram or the official API, choose a different platform.
Frequently asked questions
Can ChatGPT be used for customer service?
Yes, as a helper for the person answering customers: drafting replies, summarizing complaints, translating and writing FAQs. On its own it does not connect to your WhatsApp or website, so it cannot answer customers directly without another tool.
Is ChatGPT free for business use?
There is a free plan, and OpenAI also sells paid personal plans and Business and Enterprise plans priced per user. On personal plans, check the "Improve the model for everyone" setting before pasting any customer information.
Does ChatGPT store my customers' data?
Conversations stay in your chat history unless you delete them, and on personal plans they may be used for model training unless you turn that setting off. Temporary chats are not used for training and may be kept for up to 30 days. Remove personal details before pasting either way.
Can ChatGPT answer my WhatsApp messages automatically?
Not by itself. Automatic answering needs a separate tool connected to your WhatsApp number, and Meta's rules limit general-purpose AI assistants on its business platform. A customer service agent that answers only about your business is the usual route.
What is the difference between ChatGPT and an AI customer service agent?
ChatGPT is a general assistant you type into. A customer service agent is set up on your channels, answers your customers directly from your own content, and hands over to you when it does not know.
Will ChatGPT make up answers to customers?
It can, if it does not have your real information, because general AI assistants sometimes produce confident but wrong answers. That is why you should check every draft, and why customer-facing agents should be limited to your own content.
Let the agent answer, and keep ChatGPT for the tricky drafts
An AI agent on your WhatsApp and website that answers from your own content and hands over when unsure. 7-day free trial, no credit card.
