What to do when WhatsApp restricts your business number: reading the notice, recovering the quality rating, appealing, and serving customers meanwhile

A restriction feels like a ban. On the official platform it is not: it is a timeout on conversations you start, and it lifts when the quality rating recovers. Here is the sequence, in order, including what to do if the number was on the WhatsApp app instead.

Quick answer

First identify which kind of restriction you have. On the WhatsApp Business Platform, a number is "restricted" when its quality rating is low and it has reached its messaging limit; it can still reply to customers who message it, cannot start new conversations, and recovers as the rating improves, usually within seven days. Policy violations show a reason in Business Support Home and can be appealed there. A number banned in the WhatsApp or WhatsApp Business app, typically from unofficial automation, is a different case with a slimmer appeal. Meanwhile, keep answering from another channel and put the agent on a second number if you need one.

Read the notice

Open WhatsApp Manager in Meta Business Suite and look at the number's status and quality rating; ReplyKit mirrors both on the Agents page. There are three situations:

Recovering the quality rating

  1. Stop what caused it. Almost always a template sent to people who did not expect it. Pause it; ReplyKit pauses outbound templates automatically while a number is restricted.
  2. Keep replying. Inbound replies are unaffected and every good conversation feeds the rating.
  3. Honour every STOP. Check that opt-outs are recorded and nothing goes to them again.
  4. Wait. Meta reassesses the rating on a rolling window. Most numbers return to green within seven days of the cause stopping.
  5. Then rebuild slowly. Resume reminders to customers with fresh opt-ins before anything else.

Appeal, once

For a policy restriction, open Business Support Home, read the reason, fix it (a prohibited product on the catalogue, a misleading display name, a template used for something it was not approved for), and submit one clear appeal that states what was wrong and what you changed. Do not submit repeated appeals; they queue behind each other. For a banned app account, use the "request a review" option on the ban screen or email WhatsApp support from the app; state that the number is a business line and describe how it was used. Be honest: if it was automated through a linked device, the ban stands under the terms, and the useful step is the next section.

Keep serving customers meanwhile

Preventing the next one

Connect through the official platform, never a linked device. Reply to inbound before anything else. Collect opt-in before starting conversations and keep the record. Use templates in the category they were approved for. Watch the rating weekly. Verify the business so the display name and the higher starting limit work for you. Frequently asked questions

What does restricted mean on the WhatsApp Business Platform?

The number's quality rating is low and it reached its messaging limit. It can still reply to customers who message it but cannot start new conversations until the rating recovers.

How long does a restriction last?

Usually up to seven days after the cause stops, as Meta reassesses the quality rating on a rolling window.

Can I appeal?

Policy restrictions can be appealed once in Business Support Home with the fix described. Bans of an app account are appealed from the ban screen but rarely succeed if automation was involved.

Can the agent keep working during a restriction?

Yes, for replies. ReplyKit pauses reminders and follow-ups automatically and resumes when Meta clears the number.

Should I move to a new number?

If the number was banned in the app, yes, and connect the new one through the official platform. A platform restriction lifts; keep the number.
