How to take orders on WhatsApp: order formats, a seven-step process and a tracking system that fits on one phone
Orders on WhatsApp arrive as voice notes, photos, half sentences and "same as last time". This guide is for shops, food businesses and service providers who take orders in chat and keep losing one or two a week. You get the four ways to receive orders, a format customers can copy, a seven-step process, and a simple way to track every order without new software.
Quick answer
To take orders on WhatsApp, give customers one way to order (catalog cart, a copy-paste order format, or a link), confirm every order in a single summary message they reply YES to, take payment by link or QR, label the chat by status (new, awaiting payment, paid, ready, done), and update the customer at each change. Move to an order system when labels stop being enough.
What are the ways to take orders on WhatsApp?
There are four: free-text orders in the chat, the WhatsApp Business catalog and cart, an order form or website that sends the order into WhatsApp, and structured order messages on the official API. Most small businesses use the first two.
| Method | How the order arrives | Good for | Weak spot |
|---|---|---|---|
| Free text in chat | Customer types or sends a voice note | Custom items, food, services | Missing details, misread orders |
| Catalog and cart (Business app) | Customer picks items and sends the cart as one message | Shops with fixed products and prices | No delivery address, options or payment built in |
| Website or form that opens WhatsApp | A pre-filled message with the order details | Menus and larger product ranges | Needs a simple website or form tool |
| Order messages on the official API | Product messages, carts and, in India and Brazil, order and payment messages | Brands with developers or a provider | Cost, setup and per-message fees |
The Business app's cart lets customers "choose items from your catalog to send as a single message", in the words of WhatsApp's features page. On the official platform, Meta's documentation describes multi-product message templates showing up to 30 products in up to 10 sections, and order details messages that carry payment in India and Brazil. Setting up the catalog is covered in our catalog guide.
The order format that prevents mistakes
Give customers a short format to copy and they will use it. Pin it in your profile description, save it as a quick reply, and put it on your website. Here is one for a food business (illustrative):
Name:
Items and quantity:
Options (size, flavour, spice level):
Pickup or delivery:
Address (if delivery):
Date and time wanted:
Payment: card link or bank QR
And the confirmation you send back, which is the single most important message in the process:
2 x chicken rice (large), 1 x iced lemon tea
Delivery to 14 Jalan Mawar, Saturday 12:30pm
Food $24.00 + delivery $5.00 = $29.00
Reply YES to confirm and I will send the payment link.
The confirmation turns a chat into a contract: the customer agreed to exactly this, in writing, with a number you can search for later. More wording for each stage is in order confirmation templates.
Two kinds of order cause most mix-ups. Voice notes and photos: a customer who sends a voice note or a photo of a handwritten list still gets the typed summary back, so both of you are agreeing to the same text. "Same as last time": search the chat for the last order number, paste that summary with today's date and price, and ask for YES. Never assume last time's price or address still applies; prices change and people move.
WhatsApp order processing in seven steps
Every order goes through the same seven steps, whether it is a cake or a pallet of tiles. Skipping step 2 causes most disputes and skipping step 6 causes most "where is my order?" messages.
- Receive the order. Accept it in any form, text, cart, voice note or photo, and label the chat New order straight away.
- Confirm it in one summary. Send a single message with order number, items, options, delivery or pickup, date and total, and ask the customer to reply YES.
- Send the payment method. Send a payment link or bank QR with the amount and how long you will hold the order, then label the chat Awaiting payment.
- Verify payment. Check your bank or payment provider, not just a screenshot, then send a short receipt and label the chat Paid.
- Fulfil the order. Prepare, pack or schedule the service, and record the order in your sheet if you have not already.
- Update the customer. Message when the order is ready, shipped or on the way, with tracking or pickup details, and label the chat Ready or shipped.
- Close the loop. Confirm delivery, handle any problem in the same chat, label it Done, and ask for a review a few days later.
How do you track WhatsApp orders without software?
Use WhatsApp Business labels for the status of each chat and one simple spreadsheet as the record. Labels tell you what to do next; the sheet tells you what happened.
The Business app's labels let you organize and filter conversations. Create one label per status and move each chat along as the order progresses:
| Label | Means | Your next action |
|---|---|---|
| New order | Customer has ordered, not yet confirmed | Send the summary and ask for YES |
| Awaiting payment | Confirmed, link or QR sent | Check payment; nudge once if needed |
| Paid | Money received | Prepare or pack |
| Ready or shipped | Ready for pickup or handed to courier | Send pickup details or tracking |
| Done | Delivered, no open issues | Thank, and ask for a review a few days later |
| Problem | Late, wrong, damaged or disputed | Handle today, personally |
The sheet needs only eight columns: order number, date, customer name, phone, items, total, payment method and status. Fill it in at step 2, when the customer replies YES. At the end of the week, filter by "Awaiting payment" and "Problem" and clear both. For delivery messages, see order tracking and status updates, and for items you cannot supply, out of stock and backorder templates.
When does WhatsApp ordering stop scaling?
When you or your team spend more time finding orders than fulfilling them. The signs are usually clear before the numbers are.
- Two or more people answer the same phone and occasionally both reply, or neither does.
- Customers ask "did you get my order?" because nobody confirmed it.
- You find unconfirmed orders days later, scrolled out of sight.
- The spreadsheet is filled in at the end of the day from memory.
- Questions before the order (price, stock, delivery area) take more time than the orders themselves.
The fix depends on which problem you have. If the problem is volume of finished orders, move ordering to a website or online store and use WhatsApp for questions and updates; our WhatsApp e-commerce guide lays out the options. If the problem is the questions before the order, an AI agent is the cheaper fix.
What does an AI agent do in the order flow?
An AI agent handles the conversation around the order: it answers product, price, stock and delivery questions and gathers what the customer wants, then a person confirms, takes payment and fulfils. It should not invent prices or promise delivery dates it cannot check.
In ReplyKit, the agent answers from the price lists, PDFs, website pages and product catalogue CSV you give it, understands voice-note and photo orders, replies in the customer's language, and records the customer's name and what they want as a lead in your pipeline. When the order is ready to confirm, it hands the chat to you, and you are notified. It does not take payments, sync with stock systems, push orders into Shopify or other tools (leads export as CSV), or send order status updates on its own. If a customer asks something not in its knowledge, it says so and passes the question to you rather than guessing. It connects through Quick Connect, an unofficial QR pairing that Meta does not sanction, so a number can be restricted; you see one plain notice before connecting, and pressing Connect is your acceptance of section 3 of our terms. Starter is $29 a month for 1,000 AI replies, and you can try it free for 7 days with no credit card.
Frequently asked questions
How do I take orders on WhatsApp Business?
Set up your catalog so customers can send a cart, or share a short order format they can copy. Confirm each order in one summary message, send a payment link or QR, and use labels to track each order's status.
Can customers place an order directly on WhatsApp?
Yes. In the WhatsApp Business app customers can add catalog items to a cart and send it as one message. On the official API, businesses can also send product and order messages, with in-chat payment in India and Brazil.
How do I manage WhatsApp orders?
Use labels for each status, such as New order, Awaiting payment, Paid, Ready and Done, and keep a simple sheet with order number, customer, items, total, payment and status. Clear unpaid and problem orders weekly.
What should a WhatsApp order confirmation include?

Can WhatsApp send automatic order updates?
Yes, through the official WhatsApp Business Platform with approved utility templates, usually connected to your store system. In the free Business app you send updates yourself, ideally from saved quick replies.
When should I move orders off WhatsApp?
