Enquiries from outside your service area: how to decline fast and kindly, when to refer, and how an AI agent checks location before anyone types

Every local business gets them: the cleaning enquiry from the next city, the delivery order from a postcode you have never driven to, the clinic question from someone abroad. Each one costs minutes to discover and more to decline awkwardly. The fix is to ask the location question first and to have the decline ready.

Quick answer

Define your service area precisely (postcodes, districts, a radius, or a list of towns), ask for location in the first exchange before quoting or booking, decline out-of-area enquiries in one warm message that says what you cannot do and offers one alternative (a partner, a remote option, delivery, or a note for future expansion), and record the lead with its area so you learn where demand is. An AI agent does the check automatically: give it the area list and it asks for location, quotes only inside the area, and declines outside it in your words. ReplyKit agents follow exactly that rule.

Define the area so it can be checked

Write it as a note the agent reads: "We serve: {list}. Travel fee applies to: {list}. We do not serve other areas."

Ask first

Location is the first qualifying question, before price. "Happy to help. Which area are you in?" costs nothing and saves the quote conversation that goes nowhere. For delivery businesses it is the postcode; for trades the suburb; for clinics the country, since someone abroad cannot attend. An agent asks it naturally as part of the opening, the same way lead qualification questions are sequenced.

Declining well

Plain decline

Thanks for messaging. We don't cover {area} unfortunately, so I can't quote for that one. If you know anyone in {your area} who needs {service}, we'd love to help them.

Decline with a referral

We don't work in {area}, but {partner} does and they're good; here's their number: {number}. Tell them we sent you.

Decline with a remote alternative

We don't visit {area}, but we can do {remote option, e.g. a video consultation or courier delivery} if that helps. Would you like details?

Decline with a note for later

Not yet, sadly; {area} is on our list for next year. Can I keep your number and message you when we start there?

Edge of the area

{Area} is just outside our usual range, so there's a travel fee of {amount} on top. Still happy to help if that works.

One message, warm, with one alternative. No apology spiral, no "maybe". The tone guidance is in WhatsApp etiquette for businesses.

Configuring the agent

  1. Put the service-area note in the knowledge base.
  2. Add two lines to the instructions: ask for the customer's area before quoting or booking; if the area is not on the list, send the decline message and do not quote or book.
  3. Add the referral partner or remote alternative if you have one.
  4. Tag out-of-area leads so the CRM shows where demand comes from; three enquiries a month from the same town is an expansion signal.
  5. Test with five addresses: inside, edge, outside, abroad, and vague ("near the station"), and check the agent asks for clarification on the vague one. The test routine is in testing before going live.

Learn from the declines

The out-of-area list is market research you did not pay for. Review it monthly in the monthly audit: a cluster of declines in one place means a partner referral agreement, a travel-fee zone, or an expansion. A trickle from everywhere means your ads are targeting too wide.

Frequently asked questions

Should I ask for location before giving a price?

Yes. It is the cheapest qualifying question and prevents quoting jobs you cannot do.

Can an AI agent check my service area?

Yes. Give it the area as a list and two rules: ask for the area first, and decline outside it in your words.

How do I decline without being rude?

One warm message that says what you cannot do and offers one alternative: a partner, a remote option, or a note for later.

What if the enquiry is just outside the area?

Define an edge zone with a travel fee and let the agent quote it.

Should I keep out-of-area leads?

Yes, tagged by area. They show where to expand or where to find a referral partner.

How we know this. The service-area check is one of the first rules ReplyKit's trade and delivery customers add to their agents, and the decline wording below is drawn from what they use.
