How to handle WhatsApp calls for business: the missed-call reply, steering callers to chat, and what an AI agent can and cannot do about calls

Some customers call. WhatsApp makes it one tap, and a business number gets calls at lunch, at night and while you are with another customer. Unlike messages, calls do not queue, cannot be handled by an assistant, and leave nothing behind when missed. The fix is to make sure every missed call turns into a message within a minute.

Quick answer

WhatsApp calls cannot be answered by an AI agent; agents reply to messages. Handle calls with a rule: when a call is missed, send a message within a minute ("Sorry we missed your call. Tell me what you need here and I will reply right away"), which an agent can do when the caller then messages. State in your profile and greeting that messages get the fastest reply. Offer voice notes as a middle path for customers who prefer talking. For a team, decide who takes calls per shift, and never let calls ring to a phone nobody is holding.

Why calls are the hard channel

The missed-call rule

Every missed call gets a message within a minute. A person can send a saved quick reply; and the moment the caller replies with their question, an agent takes over and answers in seconds. The message:

Sorry we missed your call. Tell me what you need here and I will reply right away. If you prefer a call back, say a good time.

Most callers were going to ask a question the chat answers better: price, availability, a booking. The callback offer keeps the door open for the ones who really need a voice.

Steering to messages

In the WhatsApp Business profile description and the greeting: "Messages get our fastest reply, usually within a minute, any time." On the website, put the WhatsApp message button above the phone number. It is not rude to prefer messages if the messages are answered fast. Profile wording is in profile optimisation.

Voice notes as the middle path

Customers who dislike typing will happily send a voice note, and an agent transcribes and answers it. "Send a voice note if easier" in the missed-call reply captures those customers without a call. See handling voice notes.

Teams and hours

Decide who holds the phone for calls each shift, and outside hours let calls go unanswered by design with the missed-call message covering them. Linked devices do not ring for calls the way the phone does, so the phone itself must be with someone during call hours. Team setup is in multiple devices and team access.

Frequently asked questions

Can an AI agent answer WhatsApp calls?

No. Agents reply to messages and voice notes. Use a missed-call message so every call turns into a chat.

What should I send after a missed WhatsApp call?

Within a minute: an apology, an invitation to say what they need in the chat, and a callback offer.

Is it rude to prefer messages over calls?

Not if messages are answered fast. Say so in the profile and greeting.

What about customers who hate typing?

Invite voice notes. An agent transcribes and answers them.

Do linked devices receive WhatsApp calls?

Calls need the phone with a person. Plan call hours around that.
