How to back up and export WhatsApp Business chats: the phone backup, exporting a chat, and keeping records a business can actually search

WhatsApp chats are business records: what was ordered, what was promised, what the customer agreed to pay. Most businesses have exactly one copy, on one phone, in one person's pocket. Backing up is three different things, and only the third gives you something you can search when you need it.

Level one: the phone backup

Settings, Chats, Chat backup. Turn on the daily backup to Google Drive or iCloud, and include videos if storage allows. This is what restores your chats when a phone is lost, and it must be on. It is not a business record: you cannot search it, share a chat from it, or hand it to anyone. WhatsApp's Help Center has the current steps per platform, and note that end-to-end encrypted backups need a password or key you must not lose.

Level two: exporting a chat

Open the chat, open its menu, and choose Export chat, with or without media. You get a text file with timestamps and every message, and optionally the media files. Do this for any chat that matters legally or financially: an order dispute, a deposit agreement, a complaint. Name the file with the customer, date and subject and file it with your business documents. Export limits apply on some platforms and long chats may be truncated, so export important chats promptly.

Level three: a searchable record

If a customer asks "what did we agree in March?" you need search across all chats, not a phone. That is what a business inbox provides: every conversation stored in your workspace, searchable, exportable as JSON or CSV, and there when the phone is not. Retention and privacy

Chats contain personal data. Keep them as long as you have a business reason (orders, warranties, tax records), then delete. Say so in your privacy notice; see the privacy notice guide. Do not forward customer chats to personal phones or groups.

Changing phone or number

Changing phone: restore from the cloud backup, or use WhatsApp's transfer feature. Changing number: Settings, Account, Change number, which moves chats and tells contacts if you choose.
